As we continue to expand, we are seeking a highly organized and dependable Document Processing Specialist to join our remote operations team.

Position Overview

The Document Processing Specialist is responsible for reviewing, processing, organizing, and maintaining business documents and records to support Oates Energy's customers and internal operations. This role helps ensure that documents are complete, accurate, properly organized, and processed according to established company procedures.

The ideal candidate is detail-oriented, organized, dependable, and comfortable working with digital documents, spreadsheets, databases, and web-based systems. Strong attention to detail, accuracy, and the ability to manage multiple document-processing tasks are essential.

Key Responsibilities
  • Review incoming documents for completeness, accuracy, and required information
  • Process and organize documents according to established company procedures
  • Enter document and account information accurately into company systems
  • Upload, label, categorize, and maintain digital documents and records
  • Verify information across documents, customer records, and internal systems
  • Identify missing, inconsistent, or incorrect information and route issues for resolution
  • Update customer, property, account, and business records as authorized
  • Maintain organized electronic files and document repositories
  • Respond to routine document-related requests by email and other approved communication channels
  • Assist internal teams with locating and retrieving required documents
  • Prepare documents for review, processing, filing, or distribution
  • Track document-processing requests and outstanding items
  • Maintain accurate records of completed and pending processing activities
  • Assist with data entry and routine administrative tasks related to document processing
  • Coordinate with billing, operations, customer service, and other internal teams as needed

Qualifications
