Job description

The Document Controller supports SSA Marine's centralized Engineering Department by establishing and maintaining document management standards, processes, and systems across the engineering and capital project portfolio. This role is foundational and strategic, responsible not only for document control execution but also for helping define and implement the Engineering Department's future Document Management System (DMS/EDMS).

The position ensures consistency, traceability, and governance of engineering documents across all project phases, from early FEL development through execution and close-out

  • Manage day-to-day document control activities for Engineering projects, including document receipt, registration, version control, distribution, and archiving.
  • Ensure proper document naming, numbering, revision control, and approval workflows.
  • Maintain document registers and transmittal logs.
  • Support document control during FEL, design development, procurement, construction, and close-out phases.
  • Support the Engineering leadership team in evaluating, selecting, and implementing a Document Management System (DMS/EDMS).
  • Help define document control standards, procedures, workflows, and governance rules for the Engineering Department.
  • Develop and maintain document control templates, metadata structures, and filing conventions.
  • Assist with system configuration, testing, rollout, and user support.
  • Develop and maintain Engineering document control procedures aligned with project governance and FEL stage-gates.
  • Ensure document readiness and completeness for stage-gate reviews and approvals.
  • Support audits, reviews, and compliance checks related to engineering documentation.
  • Promote consistency across projects and external engineering partners.
  • Coordinate with Project Managers, engineers, consultants, and contractors regarding document requirements and workflows.
  • Provide guidance and training to internal users on document control processes and tools.
  • Maintain and update the Engineering web portal.
  • Support continuous improvement initiatives related to document management efficiency and quality.
