Responsibilities

QMS Administrative Support

  • Assist in maintaining QMS documentation under supervision to ensure compliance with AS9100 standards
  • Follow established procedures to support quality system updates and changes
  • Learn and apply basic continuous improvement concepts
  • Compile document packages to be uploaded to customer portals

Document Control

  • Process document revisions, formatting, and controlled distribution per defined procedures
  • Ensure controlled copies are properly issued and tracked
  • Identify and report discrepancies in documentation to senior team members

Records Management

  • Maintain and organize quality records (digital and physical) for accuracy and accessibility
  • Ensure proper filing, labeling, and retention of documents in accordance with company policies
  • Retrieve records for audits and internal requests as needed

Audit Preparation Support

  • Assist in preparing documentation and records for internal and external audits
  • Help compile audit packages and organize supporting materials
  • Learn audit processes and participate as a support resource

Nonconformance & Corrective Action Tracking

  • Maintain accurate records of internally issued nonconformances and track timely root cause & corrective actions (RCCA) activities
  • Follow up on open items and escalate overdue actions to senior staff

Data Entry & Reporting

  • Generate basic Quality notification reports under guidance
  • Ensure data accuracy and completeness

Deviation Waiver Tracking & Monitoring

  • Maintain & monitor records of deviation waivers submitted to customers for review/approval

Education and Experience

  • Associate's degree is preferred
  • SAP experience is a plus
  • Administrative or quality-related experience
  • Exposure to regulated environments (manufacturing, aerospace, AS9100/ISO) is a plus

Skills and Competencies

  • Strong attention to detail and accuracy
  • Basic understanding of document control and recordkeeping principles
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
