Job description

Position Overview

The Document Control role supports the CNY C6 project by managing the flow of project documents, drawings, revisions, submittals, correspondence, and record tracking tied to ongoing work activities throughout the Project. The role works directly with Project leadership, engineering teams, field staff, subcontractors, design teams, and support departments to keep project information organized, current, and moving to the right people at the right time.

The role stays involved in drawing distribution, revision tracking, submittal management, RFI logs, document organization, and coordination tied to active work areas across the Project. Document Control is expected to maintain accuracy across project records, identify missing or outdated information, and keep document flow moving between engineering, field operations, procurement, subcontractors, and Project leadership as work progresses.


Responsibilities

  • Manage document control activities tied directly to the CNY C6 project throughout all phases of work
  • Work directly with Project leadership, engineering teams, field staff, subcontractors, design teams, and support departments assigned to the Project
  • Maintain current drawing logs, revision tracking, submittal records, RFI logs, and project document distribution tied to ongoing work activities
  • Track incoming and outgoing project documents and ensure updated information reaches the appropriate teams and work areas
  • Review drawing revisions, document updates, and engineering releases tied to active construction operations
  • Coordinate document flow between engineering, field operations, subcontractors, procurement, scheduling, and Project leadership throughout the Project
  • Maintain organization of electronic and hard-copy project records tied to ongoing construction activities
  • Track outstanding submittals, RFIs, drawing revisions, and pending document items tied to active work areas
  • Identify missing, outdated, or incomplete project documents before they begin affecting field operations or project coordination
  • Coordinate with Scheduling, Procurement, Project Controls, Operations, Safety, Quality, Utilities, and support departments tied to project documentation activities
  • Maintain accountability, communication flow, follow-through, and day-to-day coordination tied to project document management
  • Keep project records, document tracking, and information flow organized and current throughout all phases of the Project


Experience/Education

High school diploma or equivalent required. Associate's or Bachelor's degree in Construction Management, Engineering, Business Administration, or a related field preferred. Candidates may have 1-4 years of engineering experience or previous construction experience, preferably in heavy highway construction. Experience working with construction drawings, RFIs, submittals, revisions, and project documentation preferred. Equivalent education and relevant construction experience will be considered.


Required Skills

  • Working knowledge of Procore and Microsoft Excel.
  • Ability to review project documents, track open items, and follow correspondence through completion.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and keep project records current and organized.
  • Strong written and verbal communication skills and the ability to work with project management, engineering, field teams, subcontractors, and support departments.
  • Ability to read and understand construction drawings, specifications, and other project documents.
  • Ability to make sure responses to project correspondence are completed and documented on time.
  • Ability to assist with cost proposals and supporting documentation for merit backup.
  • Ability to prepare meeting minutes and track follow-up items as needed.
  • Strong follow-through and the ability to take ownership of the document control process rather than simply processing paperwork.
