Job description

WORLD WIDE PROFESSIONAL SOLUTIONS is a project solutions organization committed to implementing lean constructions, collaborative contracting, and execution approaches to enable breakthroughs in performance.
We are seeking a detail-oriented and highly organized Administrative Assistant to support our team on a dynamic semiconductor construction project in Chandler, AZ. This role provides critical administrative and executive support to customer senior leadership and the broader project team in a fast-paced construction environment.
The ideal candidate is proactive, highly organized, and comfortable managing multiple priorities while maintaining accuracy and professionalism.
Key Responsibilities
  • Provide comprehensive administrative support to project managers
  • Manage complex calendars for senior leadership, including scheduling meetings, resolving conflicts, and coordinating logistics.
  • Track training requirements and maintain onboarding documentation for new team members.
  • Support onboarding processes, including coordinating access requests, equipment needs, and required documentation.
  • Maintain organized file management systems to ensure accurate document control and easy retrieval of information.
  • Assist with preparation of reports, tracking logs, visual dashboards, and presentations using Microsoft Excel and PowerPoint.
  • Coordinate meetings, including preparing agendas, capturing notes, and tracking follow-up action items.
  • Monitor deadlines for administrative deliverables and assist with ensuring timely completion.
  • Facilitate communication between internal teams, subcontractors, vendors, and customer leadership as needed.
  • Perform additional administrative duties as assigned to support evolving project needs.
Required Skills & Experience
  • Proficiency in Microsoft Excel, including formulas, charts, and pivot tables.
  • Strong PowerPoint skills for preparing clear, professional presentations.
  • Experience managing calendars and providing direct support to senior leadership.
    Exceptional attention to detail and strong organizational skills.
  • Strong verbal and written communication skills.
  • Ability to work independently while supporting multiple leaders.
  • Comfortable working in a fast-paced, onsite construction environment.
  • Prior administrative experience in construction, engineering, semiconductor, or large project teams is preferred.
Preferred Qualifications
  • Experience with training tracking or compliance reporting tools.
  • Familiarity with construction documentation or project tracking systems.
  • Local candidates are strongly preferred due to the onsite nature of the position.
Education
  • Associate or bachelor's degree in a related field preferred but not required. Equivalent experience will be considered.
