Procopio is seeking a Senior IP Docketing Specialist to join our Intellectual Property team in any of our California offices; fully remote candidates will be considered only for qualified candidates. The Senior IP Docketing Specialist plays a critical role in supporting attorneys, clients, and IP professionals by maintaining accurate docket records, managing critical deadlines, and ensuring the integrity of the Firm’s intellectual property portfolio management processes. This position serves as a subject matter expert in IP docketing and provides guidance, mentorship, and training to junior docketing staff while helping drive consistency, efficiency, and risk management across the department.
Responsibilities include reviewing and docketing U.S., international, and foreign patent and trademark correspondence; opening and closing matters and deadlines within the docketing system; maintaining accurate docket records and detailed database notes; coordinating client and matter transfers; and assisting with patent renewals, maintenance fees, and annuity processes. This role also supports attorneys and staff by providing docketing guidance, generating reports and queries, monitoring workflow, and ensuring compliance with jurisdiction-specific requirements across domestic and international intellectual property matters.
The ideal candidate is highly detail-oriented, analytical, and organized, with the ability to manage a high-volume workload while maintaining exceptional accuracy. Strong communication skills, professionalism, and a collaborative mindset are essential, as this role interacts regularly with attorneys, clients, outside counsel, and cross-functional teams. Candidates should be comfortable exercising independent judgment, adapting to changing priorities, and serving as a resource and mentor within the department.
Strong computer skills and proficiency in Microsoft Office (Word, Outlook, Excel, and PowerPoint) are required. Experience with intellectual property docketing systems is essential, and experience with FoundationIP is preferred. Candidates should possess extensive knowledge of U.S. and international patent and trademark prosecution procedures, docketing best practices, and intellectual property portfolio management. A high school diploma or equivalent is required, while an Associate’s or Bachelor’s degree is preferred. Candidates should have at least 10 years of intellectual property prosecution and docketing experience, along with demonstrated experience training and mentoring others.

Procopio offers generous total compensation packages. Typical pay range is from $100,000 – $115,000+ depending on experience. If your pay expectation is outside this range, we still encourage you to apply. Bonuses are awarded in recognition of individual and firm performance.
