Ce que vous accomplirez avec nous

En tant qu'Adjoint(e) de direction, Distribution SAEC, vous serez au cur de notre mission. Voici les principales responsabilites :

  • Fournir un soutien administratif direct dans la gestion quotidienne des activites ;

  • Gerer de facon autonome les agendas, priorites changeantes, echeanciers et suivis associes aux dossiers ;

  • Coordonner les deplacements d'affaires (reservations de voyages, hebergement, logistique) et preparer les notes de frais ;

  • Elaborer, maintenir et tenir a jour des fichiers, bases de donnees et systemes pour le traitement de renseignements confidentiels ;

  • Gerer, assurer le suivi et coordonner le paiement des demandes de commandites, incluant la validation de la documentation, l'obtention des approbations requises et le suivi budgetaire ;

  • Effectuer le suivi des decisions, actions, livrables et prochaines etapes decoulant des rencontres, comites et instances de gouvernance ;

  • Assurer la classification, l'organisation et la gestion documentaire de la vice-presidence ;

  • Planifier, coordonner et preparer diverses rencontres et evenements ;

  • Assister la vice-presidence et l'equipe de gestion dans l'elaboration, le suivi et le maintien des DMS, tableaux de bord et indicateurs de performance ;

  • Preparer les agendas, supports PowerPoint, sondages, ateliers, documents d'information et suivis en lien avec les rencontres et les evenements ;

  • Recommander et implanter des pratiques exemplaires en matiere de gestion administrative et operationnelle, incluant la revision des facons de faire ;

  • Soutenir les communications internes de la vice-presidence (boite courriel, messages aux equipes, invitations, sondages, communications ponctuelles) ;

  • Participer activement a la preparation, la redaction, la revision, la correction, la traduction (francais/anglais) et la mise en page de documents de niveau executif ;

  • Analyser les donnees provenant des systemes (Salesforce) afin d'identifier des tendances, produire des rapports, emettre des constats et proposer des actions ;

  • Effectuer d'autres taches connexes.

Ce qui pourrait accelerer votre succes dans ce poste

Nous cherchons une personne qui :

  • Detient un diplome d'etudes collegiales (DEC) en techniques bureautiques, administration ou domaine connexe, ou toute combinaison equivalente ;

  • Possede une experience pertinente de 3 a 5 ans dans un role d'adjoint(e) de direction ou de soutien administratif de haut niveau, idealement aupres d'une direction executive ;

  • A une excellente maitrise de la suite Microsoft 365 (Word, Excel, Outlook, PowerPoint, Teams, OneNote) ainsi que des outils d'intelligence artificielle (Copilot) ;

  • A une aisance avec les outils numeriques et les medias sociaux (ex. LinkedIn) et desir apprendre et exploiter de nouvelles technologies, logiciels ou applications (ex.: Salesforce) ;

  • Est reconnue pour sa proactivite ;

  • Se demarque par sa capacite d'organisation et de planification ;

  • Demontre une grande discretion ;

  • Est reconnue pour son sens du jugement ;

  • Possede une maitrise de la langue francaise et possede un niveau de connaissance intermediaire de la langue anglaise puisque la personne sera amenee a collaborer a l'oral et a l'ecrit aupres de divers partenaires internes et externes unilingues anglophones sur une base quotidienne ;

  • Detient une experience en coordination de projets transversaux ou d'evenements corporatifs (un atout).
