Job Title: Sales Support Specialist
Department: Logistics amp; Procurement
Reports To: Supply Chain Operations Manager
Job Type: Full-Time | Onsite | Salaried Exempt
Location: Rock Hill, SC 29730
Position Summary
The Sales Support Specialist is responsible for managing the accurate and timely processing of customer orders and invoices. This role supports internal sales, procurement, and operations teams by ensuring efficient order workflows, verifying order accuracy, and maintaining invoicing integrity. This position also serves as a liaison between the dealer and internal Hangcha teams on the supporting sales/order processes. While not a direct sales role, this position plays a critical part in helping to drive customer satisfaction and operational excellence through precise execution and cross-functional coordination.
Key Responsibilities
  • Manage the sales order process from entry through fulfillment, ensuring accuracy, completeness, and timeliness
  • Process and verify customer orders in collaboration with the sales team to ensure all order details, including pricing, terms, and specifications, are accurate
  • Coordinate closely with the procurement team to ensure accurate and timely placement of factory orders aligned with customer requirements
  • Oversee the end-to-end invoicing process, including generating, reviewing, and distributing invoices
  • Monitor order and invoicing workflows to ensure compliance with company policies and customer requirements
  • Investigate and resolve invoicing discrepancies, billing issues, and customer inquiries in a timely manner
  • Collaborate with accounting and finance teams to support accurate billing, revenue recognition, and reconciliation
  • Review orders and invoices for accuracy, including pricing, deductions, taxes, and shipping details
  • Identify and support process improvements to enhance efficiency and reduce errors in order entry and invoicing
  • Track and maintain key performance metrics such as order accuracy and processing timelines
  • Ensure compliance with internal controls, audit requirements, and company policies
  • Coordinate with sales, customer service, warehouse, logistics, and procurement teams to resolve order-related issues
  • Assist with system updates, testing, and optimization related to order management and invoicing systems
Required Qualifications
  • 1-3+ years of experience in order processing, billing, or sales support coordination
  • Strong experience with invoicing, billing systems, order processing, and sales support processes
  • Proficiency in ERP systems (e.g., SAP, Oracle, NetSuite), Order Management Systems, and Microsoft Excel
  • Excellent attention to detail, particularly with financial and order data
  • Strong organizational, communication, and problem-solving skills
  • Ability to manage multiple priorities in a fast-paced, detail-oriented environment
Preferred Qualifications
  • Associate’s degree in business administration, supply chain, or related field (or equivalent experience)
  • Experience within the material handling, heavy equipment, or industrial truck industries is a big plus
  • Hands-on experience with SAP S/4 HANA, OMS, and OA
