Position Overview

The Gift Processing and Data Services Coordinator is responsible for accurately processing, recording, and reconciling gifts and donations received by the foundation. This role ensures the integrity of gift data and compliance with relevant policies and regulations. The Gift Processor and Data Services Coordinator works closely with Advancement Operations leadership, the Director of Finance and Donor Stewardship, and other departments to facilitate smooth gift management, ensuring timely and accurate reporting. Work in collaboration with Institutional Advancement team members (communications, events/sponsorships, annual giving, alumni engagement, corporate and foundation relations, and advancement operations), to ensure data integrity, accurate records management, and the development and implementation of effective reports.

Minimum Qualifications

Bachelor's degree and two (2) years of related experience; or any equivalent combination of education and experience.

Knowledge, Skills and Abilities

  • Excellent software skills, including Microsoft suite of products, database management, and customer relationship management products.
  • Demonstrated organizational skills, customer service orientation with an ability to prioritize, manage, and complete multiple tasks under time sensitive deadlines
  • Must manage confidential materials with sensitivity and discretion
  • Must work independently and within a collaborative team environment
  • Must be proactive in identifying opportunities to improve processes and efficiency.

Preferred Qualifications

  • Experience in gift processing, accounting, banking or a similar financial role.
  • Strong attention to detail and the ability to maintain accurate financial records.
  • Familiarity with IRS regulations and compliance related to charitable giving.
  • Proficiency in database management and financial software systems (Blackbaud's Raiser's Edge and Financial Edge).
  • Excellent communication and collaboration skills.

Required License/Registration/Certifications

  • Bachelor's degree in Accounting, Finance, or a related field, or equivalent work experience.

Job Duties

  • Gift Processing: Responsible for processing and acknowledging all donations to UNT Health Foundation within the Raiser's Edge (RE) constituent relationship management database software. o Process and record all gifts, pledges, and donations in the database system, ensuring accuracy and timeliness. Verify gift documentation for compliance with university policies and donor intent. Generate and distribute personalized gift receipts and acknowledgment letters to donors.
  • Records Management, Lists, and Reporting: Responsible for creating new records, researching and updating existing records. Generate targeted lists for all IA communications, event invitations, college-specific communications and for the Office of the President. Generate weekly, monthly, quarterly, and annual gift reports for IA team members, Advancement Operations and Finance/Donor Stewardship.
  • Accounting and Reconciliation: Reconcile gift and donation transactions with the general ledger (Financial Edge). Collaborate with the Director of Finance and Donor Stewardship and Advancement team to ensure proper allocation and fund management. Assist in resolving discrepancies in gift-related financial records. Prepare and execute journal entries. 
  • Compliance and Reporting: Ensure all gifts comply with IRS regulations, university policies, CASE Global Reporting Standards, and donor agreements. Prepare regular reports on gift transactions, fund balances, and other related metrics.
  • Collaboration and Support: In collaboration with the Director of Advancement Data Services and Reporting, utilize various research resources, to identify prospects who have an interest in, and capacity for, making a gift. Work closely with Advancement Services leadership and other university departments to streamline gift processing workflows. Provide support during fundraising campaigns, appeals, and events by managing financial and gift data. Assist in training staff on gift processing policies and procedures as needed.
