People Operations Coordinator

Purpose of Position  

The People Operations Coordinator supports Human Resources initiatives, administrative functions, and daily operations across the organization. This role coordinates team development from recruitment through training to offboarding, assists with HR compliance and benefits administration, and supports communication, inclusion, and engagement efforts across all properties and office teams. 

The ideal candidate is highly organized, detail-oriented, and proactive, with strong communication and interpersonal skills. They demonstrate professionalism, sound judgment, and the ability to handle confidential information with discretion and compassion. A collaborative mindset, problem-solving abilities, and an interest in employee engagement and team development are essential for success in this role. Spanish fluency is strongly preferred. This position reports directly to the People Operations Lead.  


Primary Responsibilities 

People Operations 

  • Coordinate all administrative activities related to the recruiting and selection process, including role promotion, interview materials, scheduling, and candidate evaluations. 
  • Coordinate onboarding of all new team members, including background checks, payroll requirements, scheduling training, preparing workspace, onboarding buddies, and more. 
  • Serve as a confidential and professional resource to address and resolve personnel matters, acting as the primary point of contact for team members. 
  • Support the development and facilitation of training materials, goal-setting, and strategic work planning to support current and future business needs. 
  • Facilitate performance evaluations and assist in implementing performance management programs.  
  • Assist team leads across the organization in facilitating their execution of the HALX disciplinary and corrective action process. 
  • Support the integration of HALX culture and performance standards by coordinating belonging and activities, team building, data collection, team member recognition, and team visits to all offices in Alexandria to support a culture of inclusion.  

Benefits & HR Compliance  

  • Oversee accurate timecard reporting, manage relevant deductions, and process payroll. 
  • Support people operations accounting activities, including budget management, audit requests, team reimbursement, reconciliation, and reporting.  
  • Assist in the coordination and required reporting of team member benefits, including health, 401(k), commuter, tuition assistance, parental leave, life insurance, and more.  
  • Serve as primary liaison to team members for benefits-related questions, enrollment, assisting with claims, terminations, and qualifying life events. 
  • Work with benefits vendors and brokers to resolve team member issues and verify accurate invoice reconciliation. 
  • Oversee the services and functions of the HRIS (Paychex) to ensure accurate team member records, benefits integration, reporting, invoicing, and team member access.  
  • Maintain personnel files, agreements, and contracts confidential and up to date.  
  • Support the People Operations Manager in facilitating separation and offboarding procedures, including team notices, exit interviews, final pay, benefits continuation, and unemployment benefits. 
  • Assist in developing, maintaining, and enforcing workplace policies and procedures. 
  • Ensure the organization’s compliance with local, state, and federal laws and regulations. 

Ongoing Work  

  • Support the Executive Leadership team with special projects as needed. 
  • Maintain professional and technical knowledge by attending subject-relevant educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies.  
  • Actively participate in all team meetings, training sessions, and other appropriate meetings and conferences as required.  
  • Support HALX fundraising and community engagement efforts.   
  • Collaborate and support the Operations teams to oversee and execute policies, day-to-day tasks, trainings, and operations budget.  
  • Foster Housing Alexandria’s mission, culture, values, strategic plan, and commitment to diversity, equity, and inclusion.  
  • Perform other duties as directed.  

Required Skills and Qualifications 

  • A bachelor’s degree in human resources, labor relations, organizational development, business, or a related area. 
  • Spanish fluency in written and verbal communication. 
  • Minimum of two years’ experience in human resource strategies and practices, including recruiting, performance management, benefits, and employee relations. 
  • Ability to work well under stress in a quickly changing environment and adjust course as needed.  
  • Strong project management skills, including organization, delegation, data management, and reporting. 
  • Excellent interpersonal communication skills, explaining processes, effective writing, software, etc., and providing guidance and support for colleagues of all levels. 
  • Knowledge and ability to interact with human resources software. 
  • Must be service-oriented with a focus on helping others and achieving expectations.  
  • Sincere interest in career growth and support of Housing Alexandria’s mission.   

Beneficial Skills and Qualifications  

  • SHRM Certification. 
  • Amharic, or Arabic language ability and comfort translating materials for residents to/from English is a huge plus.  
  • Strategic level thinker with an interest in long-term/large-scale planning. 
  • Passionate about creating a positive work culture and team member experience. 
  • Experience providing assistance to individuals and groups facing difficulties such as economic disadvantage, unemployment, abuse and neglect, substance abuse, aging, disabilities, prevention, health, cultural competencies, and inadequate housing. 

Position Requirements 

This is a full-time hybrid position that requires a minimum of three (3) full days per week in the HALX offices. Tuesday & Thursday are mandatory on-site days, with occasional evening and weekend work. The team member must be locally in the DMV area and have reliable transportation, as travel within the city of Alexandria is required.

Salary and Benefits
