Job Description - Director of Operations 

Location: Charleston, SC 

Full Time Position 


About the Role:

The ACE Director of Operations is the senior leader of the ACE team and reports directly to the ACE Owner. This role is responsible for ensuring ACE studio and business operations run seamlessly. This individual will manage day-to-day operations while also driving membership growth, efficiency, and excellence. From creating marketing plans and managing budgets to leading the team and shaping member experiences, the Director of Operations is both a strategist and an executor, ensuring ACE delivers on its promise every single day. This role is ideal for a dynamic, detail-oriented leader with experience in boutique fitness or hospitality, who thrives in high-energy, people-focused environments.


Sales and Marketing 

  • Create strategies for and obtain new business/first timers to drive membership, credit and private training sales
  • Manage sales process and training of front desk and training team
  • Meet new client and new member sales goals 
  • Plan, create, and manage multi-channel marketing campaigns across email, social media, print, and in-studio platforms to drive brand awareness, membership growth, and class attendance
  • Manage ACEโ€™s social media accounts (Instagram, TikTok), including creating compelling content, developing quarterly content calendars, writing copy, scheduling posts, and engaging with the community to increase reach and retention 
  • Organize and manage execution of in-studio & local events including in-studio offerings, collaborations, and local partnerships 
  • Manage community engagement initiatives to build brand loyalty and increase word-of-mouth referrals
  • Write, design, and schedule weekly marketing emails to segmented audiences, maintaining high open and conversion rates by using performance data to guide content and timing
  • Review and update ACE website using 3rd party as needed 
  • Track and analyze sales funnel metrics, including conversion rates, lead sources, and churn, to inform marketing decisions and improve outreach effectiveness
  • Work with management team on merchandise, source and order 
  • Draft annual budget for marketing and special events


Studio Operations 

  • Monday - Friday - In person support at the studio 8am-2pm
  • Director of Operations is also required to be in-person for two evenings per month (5:30pm - 7pm) and one early morning shift per week (6am); days may vary depending on front desk support 
  • Support and manage daily operations, class transitions, and cleaning schedule 
  • Lead daily sales efforts and techniques by reviewing class lists and coaching the front desk team on strategies 
  • Ensure adherence to ACE goals and values and the client experience 
  • Conduct bi-weekly check-in meetings with front desk team 
  • Support weekend operations in-person as needed/on-call basis 
  • Report weekly, monthly, and quarterly on key studio KPIs; make data informed decisions about staffing, scheduling and studio offerings
  • Keep inventory of all operational products (restrooms, cleaning supplies, etc. )
  • Manage operational vendors such as HVAC, towel supplier, etc. 
  • Update and implement new SOPs as needed 
  • Manage studio calendar 
  • Review and update the Maintenance Tracker for larger or upcoming items 
  • Draft annual budget for studio operations


Client communications 

  • Oversee client comms including emails and social channels
  • Monitor info email communications, tone and responses by team - provide feedback and guidance as needed 
  • Respond to client inquiries as needed 


Payroll

  • Process and input payroll on a bi-weekly basis 
  • Track team bonuses and payment schedule 
  • Keep payroll records, payrates and raises up to date 
  • Manage team profiles in Paychex and Jebra 
  • Send and file bi-weekly payroll reports 
  • Work with Supporting Strategies and Paychex for any payroll/tax questions/ updates 


Account Management

  • Maintain and manage all business accounts/billing such as T-mobile, Comcast, insurance policies, Alsco, NetGym, Paychex, Vimeo, Apple etc. 
  • Categorize monthly spend in Quickbooks; work with Supporting Strategies as needed 
  • Attend and participate in monthly financial meetings with owner and Supporting Strategies
  • Review and finalize yearly budget with Owner; manage spend according to budget 


Trainer Management & Responsibilities

  • Collaborate with Lead Trainer on Visiting Training Program; schedule visit, create agenda and book accommodations 
  • Oversee Lead Trainer, provide reviews, feedback and weekly 1:1 
  • Approve and finalize trainer schedules and updates 
  • Oversee and provide input for trainer reviews 
  • Attend Trainer Team meetings and offer input for agendas 
  • Work with Lead Trainer on staffing needs, Training Program planning and recruiting 


Additional HR / Front Desk  

  • Interview and hire front desk associates 
  • Oversee onboarding of front desk associates and trainers, including onboarding paperwork and Paychex
  • Conduct trainings for front desk staff 
  • Keep all HR and tax records up to date (W9โ€™s for vendors, etc.) 
  • Manage incident reports 
  • Update Employee Handbook as needed 
  • Update and execute all Trainer Contracts in collaboration with Lead Trainer 
  • Track and manage vacation requests for Lead Trainer and ASM 


VOD Management 

  • Coordinate with Lead Trainer to film, upload, and distribute on-demand classes, ensuring brand consistency and quality standards across all digital content
  • Ensure videos are edited via third party to brand standards 
  • Upload and manage content on Vimeo 
  • Create Weekly Guide and VOD weekly email 
  • Analyze engagement data from the platform to optimize offerings, increase member retention, and support revenue growth through online memberships.


Requirements 

  • Minimum 5 years of experience in fitness or hospitality management 
  • Marketing and social media management experience
