Job description

The Role:

We are looking for a full-time (hybrid) Client Intake Specialist to own our intake process from first contact through signed engagement. This role is the firm's first impression and a key driver of new business โ€” you will qualify leads, conduct intake interviews, and manage the pipeline in Clio Grow, working closely with the Managing Partner and our Director of Finance Operations.


This is a fast-paced, front-of-house role โ€” you're often the first voice a prospective client hears. Speed matters (we aim to respond to new leads within minutes, not hours), and so does empathy. If you like moving quickly, staying organized under volume, and turning conversations into results, we want to hear from you.

Responsibilities:

What Youโ€™ll Do:

  • Answer incoming calls and manage all incoming leads and client communications โ€” respond promptly to inquiries and conduct structured intake interviews with a professional, empathetic touch
  • Evaluate and qualify potential employment and other litigation matters by gathering key facts and identifying viable claims so attorneys have complete information for decision-making
  • Own the intake process in Clio Grow: data entry, conflict checks, engagement letter generation, and accurate recordkeeping
  • Coordinate consultations โ€” schedule efficiently, prepare attorneys with intake summaries, confirm appointments, and minimize no-shows
  • Drive lead conversion through consistent follow-up, tracking pipeline activity so no qualified lead is lost
  • Track Clio tasks assigned to support staff to keep matters moving
  • Support marketing initiatives, including social media content and research/submissions for firm awards
  • Provide general administrative support to the Managing Partner and Director of Finance Operations

Strongly Preferred:

  • Experience in intake, sales, or another client-facing, conversion-driven role
  • Familiarity with Clio Grow, Clio Manage, or comparable CRM/case management software
  • Experience in a law firm or professional services environment
