L.A. Injury Attorneys is a dynamic personal injury Burbank-based law firm seeking a qualified Intake Specialist for immediate consideration, to screen incoming calls for potential cases and turn those leads into clients for the firm. 

As an Intake Specialist, you will be the first point of contact for individuals seeking legal help after an accident or injury. You must be able to build rapport with callers and convey trustworthiness, knowledge, and support as you guide potential clients through the first step toward legal representation.

This position is ideal for someone who enjoys helping others, communicates effectively by phone, and can earn trust during challenging situations.  The successful candidate will have sales experience and knowledge of personal injury cases to successfully assess and determine the viability of inbound phone calls during client intake screening process.  In doing so, candidate will conduct preliminary investigation of the facts of the case and obtain evidence from potential clients at the time of the initial interview, including photos of injuries, relevant documents, etc. 

When not screening calls, candidate will be required to perform administrative assistance to the firm's Pre-Litigation and Litigation Departments.

Candidate should be outgoing, creative, intelligent, polished, polite, able to multitask, and able to handle a high volume of calls while maintaining a positive attitude and a calm, courteous, and professional demeanor. Candidate should also be flexible to work overtime, if necessary.

Responsibilities 

  • Answer incoming phone calls and screening potential client calls or routing current client calls to appropriate person
  • Prepare correspondence to mail out to clients
  • Scan all outgoing mail and upload to server and FileVine, and verify that scanned documents are clear and legible.
  • Organize and archive records and documents - both physical mail and scanned documents.
  • Make copies of paperwork and distribute as needed.
  • Retrieve data and files for other departments and personnel.
  • Type and perform data entry to rename scanned documents, enter new case information into FileVine, etc.
  • Maintain an organized filing system for both physical files and electronic files
  • Secure and protect the privacy of documents.
  • Prepare drafts of documents for paralegal to use in discovery

Qualifications

  • Must be fluent in English and Spanish.  Spanish speaker is a must, as our client base is mostly Hispanic and you will have direct contact with Spanish-speaking clients on a daily basis. 
  • Excellent customer service skills
  • Personable and able communicate effectively with potential clients
  • Highly organized with excellent time management skills and the ability to prioritize projects
  • Excellent computer skills and knowledge of Microsoft Word, Excel, and Adobe PDF, with a typing speed of at least 65 wpm
  • Knowledge or experience with FileVine is a plus
  • Previous experience as an Administrative Assistant or in a similar position
  • Familiarity with standard office equipment such as computers, printers, and fax machines
  • Candidates should possess a valid driver's license, have their own transportation, and be authorized to work in the United States on a full-time basis for any employer. 
  • High school diploma/GED required, Associate’s degree or administrative training is preferred
