The Rates Clerk position is responsible for providing accurate and high-quality customer service duties within the Rates Department; including: Providing Rate Quotes based on departmental SOP’s and Customer Pricing Agreements, Reviewing & Rating Freight Bills for accurate customer billing, Data Entry Billing, etc.

The Shift is Monday – Friday, 7:30 AM PST – 4:00 PM PST, Hybrid position after required training.

Essential Duties and Responsibilities:

  • High levels of Customer Service, interacting with both Internal & External Customers.
  • Identify and classify commodities for reporting accurate rates to Customers.
  • Ensure accurate rating and revenue splitting of freight bills.
  • Work in a team and independently to enter and / or resolve corrections, discounts, or contract information in the Rates Department queue(s).
  • Research and Audit freight bills, with corrections as necessary for accurate billing.
  • Manage incoming calls and emails to assist customers with invoice / rate inquiries and resolving any issues promptly and professionally.
  • Update customer data within AS/400 to reflect the most current and accurate information.
  • Investigate and follow up with Customers regarding missing or disputed bills to ensure invoice and revenue accuracy.
  • Leverage Oak Harbor contracts to understand pricing, payment terms, and conditions specific to each Customer.
  • Cultivate strong relationships with Internal & External Customers to facilitate quick problem resolution.
  • Ensure appropriate Rate coding and procedures are followed for alignment across the Rates divisions (Central & Interline).
  • General office duties and other duties as assigned, subject to change as needed.

Experience, Skills and Qualifications:

  • 1+ years’ experience in a role requiring customer service in a business office environment.
  • Previous experience in an LTL rating environment preferred.
  • Previous experience providing Rate Quotes via telephone preferred.
  • Working knowledge of National Motor Freight Classification (NMFC).
  • Understanding of Customer coding and experience with LTL Billing.
  • Outstanding phone and email etiquette with strong communication skills, written and oral.
  • Candidate must be detail-oriented, self-directed, and self-motivated.
  • Ability to demonstrate Leadership skills with a positive, team-oriented attitude.
  • Ability to work successfully as a member of a team to collectively meet department goals.
  • Basic PC proficiency and experience using MS Office products. LTL & AS400 experience preferred.
  • Associate’s degree or equivalent experience preferred.
  • H.S. diploma or GED/equivalent required.
