Job description
BASIC FUNCTION
To contribute to the success of the fellowship training programs in the Division of Cardiovascular Medicine through the coordination and support of all aspects of the program. This position will have primary responsibility for the Cardiovascular Disease Fellowship Training Program and the Advanced Noninvasive Cardiac Imaging Program, and will also support the fellowship programs in Advanced Heart Failure and Transplant Cardiology, Clinical Cardiac Electrophysiology, and Interventional Cardiology.
KEY AREAS OF RESPONSIBILITY
Academic Program Management:
- Support the daily operations of the fellowship training program which includes the coordination and implementation of clinical and research schedules, assignments and conferences.
- Facilitate review of fellowship applications. Coordinate all aspects and logistics for the fellowship interviews, scoring of applicants after interviews, and submission of rank lists. Coordinate subsequent hire, licensure, credentialing, compliances and orientation of all incoming fellows.
- Create and maintain fellowship databases. Analyze data to prepare fellowship reports.
- Research information, prepare reviews and analyze documentation for fellowship offsite locations.
- Work with Fellowship Program Director and Associate Program Directors, as well as the Educational offices and Departmental Fellowship Director in the preparation and coordination of strategic plans and the implementation of goals.
Academic Standards and Curricular Policies:
- Maintain knowledge of current national fellowship guidelines and requirements.
- Schedule and monitor fellow evaluations and program reviews. Log procedure numbers and rotation weeks for each fellow to ensure compliance with COCATS requirements.
- Arrange and proctor in-training examinations for fellows.
- Assist with the ACGME reviews for four accredited fellowship programs. This includes collection and preparation of data and information for ACGME reviews and logistical preparation for any site visit.
- Monitor accreditation for the fellowship programs which include completion of annual reports required by ACGME and FREIDA.
- Serve as point of contact for the Cardiovascular Disease Fellowship Training Program and the Advanced Noninvasive Cardiac Imaging Program. Provide information and respond to inquiries from applicants and other medical institutions.
- Prepare and administer all fellowship correspondence.
- Maintain program public website and social media accounts and private Microsoft Teams channel.
Enrollment Management:
- Plan and coordinate the new fellows' orientation each July for the Division of Cardiovascular Medicine
- Work with Chief Fellows to create rotation schedule for 21 general cardiovascular disease fellows. Collaborate with Chief Fellows on creating conference schedules and industry-sponsored educational events on campus that are of interest to the fellows.
- Assist all five program directors with verification forms for graduates of fellowship programs which are sent out by various agencies throughout the year.
- Communicate with department, college, and university resources as well as outside agencies.
- Gather and provide fellowship compliance information using a variety of available resources.
Budget Oversight and Management:
- Initiate purchasing requests for fellows.
- Monitor fellowship accounts/expenditures; reconcile statements.
- Assist in applications for industry grants to help support the fellowship programs.
- Coordinating with industry representatives to arrange sponsorships and to submit documents for payment.
- Prepare VA disbursement reports for Division of Cardiovascular Medicine fellows.
Qualifications
QUALIFICATIONS
- A Bachelor's degree or an equivalent combination of education and experience is required.
- 1 year of administrative experience is required.
- Excellent written and verbal communication skills are required.
- Proficiency in computer software applications including Microsoft Word, Outlook, and Excel is required.
- Experience supporting a medical fellowship program is desirable.
- Knowledge of university policies, procedures, and regulations is desirable.
