Job description

Sales & Event Coordinator

The Sales & Event Coordinator is a key member of the sales team in driving sales growth and providing exceptional customer service. This position will provide the necessary administrative & sales support to the hotel's sales & event team and will be the point of reference for colleagues and customers alike, by keeping schedules and providing feedback, documentation, and information. The Sales & Event Coordinator will facilitate the team's activities to help maximize their performance and the solid and long-lasting development of the hotel's sales success. The Sales & Event Coordinator may also be tasked with performing some direct sales activities depending on the needs of the hotel.

Essential Responsibilities

  • The Sales Coordinator will assist in the execution of the administrative process, service, detail, and efficiently communicate to all departments the group & event needs from the time of booking through check out date.
  • Efficiently performing all assigned sales duties including processing incoming leads and executing sales reporting requirements.
  • Ensure all deadlines are met, performing assigned duties, maintaining sales data files, and acting as a liaison between hotel and clients and vendors as directed.
  • Assist in the servicing of groups, events, VIP, and Business Travel guests as directed, and maintain files and sales databases as per company standards.
  • Ensure efficient communication of group & event needs to hotel operations team.
  • Execute assigned sales reporting and ensure all deadlines are met.
  • Monitor phones, voicemails, emails and inquiries and maintain a 2-hour response time when possible.
  • Generate reports, prepare proposals, contracts, resumes, collect details as directed and maintain data integrity of sales system.
  • Process, log and handle gift certificates, and planner points as directed.
  • Attend internal meetings as directed
  • Utilize Microsoft Office Suite, customer relationship management software, and other relevant business software.
  • All other duties and tasks as assigned.

Required Knowledge, Skills, and Abilities

  • Two to four-year college degree or equivalent education/experience.
  • Sales/Events experience preferred.
  • Ability to manage and organize complex projects and establish priorities consistent with department/club objectives.

Physical Demands

  • Outside sales calls, servicing groups, site inspections, attending meetings, travel and community/industry functions
  • Lift up to 10 lbs.(amenities when making sales calls, attending trade shows, etc.)
  • Hotel tours, sales calls, trade shows
