ABOUT THE ROLE

Resourcing & Operations Lead

You are an experienced resourcing and operations partner - analytical, systems-minded, and highly attuned to people. You bring clarity to complexity and operate as the connective tissue across the studio.

At your core, you are the air traffic controller of the studio - directing the day-to-day flow of people, projects, and priorities with precision and care.

You partner closely with Accounts, Creative, Strategy, and New Business leadership to ensure work is staffed thoughtfully, timelines are realistic, and teams are set up to do their best work. You understand that strong resourcing is both a human system and a financial lever—and you operate fluently across both.

You are responsible for building the systems, guardrails, and visibility that create the conditions for world class brand work and allow the studio to move faster, make decisions quickly, and scale sustainably.

WHAT YOU'LL DO Resourcing Leadership (Core Priority)
  • Direct the day-to-day resourcing of the studio across all active and upcoming projects
  • Partner with team leads to staff projects end-to-end, aligning scope, timelines, and team capabilities
  • Build processes that ensure profitability and make resourcing seamless, while adapting quickly as priorities shift
  • Identify, propose, and help drive decisions around capacity constraints and trade-offs
Systems & Decision-Making (Critical to Success)
  • Establish clear resourcing guardrails that enable New Business to scope within defined ranges without constant approvals
  • Create rapid approval pathways for projects that fall outside standard lead times
  • Own real-time visibility into capacity, maintaining a live view of bandwidth across teams
  • Ensure all projects and addendums are set up for success, with focus on financials and client relationship
  • Build and maintain a shared pipeline, project status + capacity dashboard, including active work and new business opportunities with probability weighting
  • Design flexible resourcing mechanisms that allow us to meet accelerated timelines, including structured freelance activation
Studio Operations & Tools
  • Oversee and evolve resourcing tools, time tracking, and workflows to improve clarity and efficiency
  • Create structure around how information flows across resourcing, timelines, and team communications
  • Continuously identify opportunities to simplify and streamline how the studio operates
  • Maintain a clear view of hours, utilization, and burn pacing in partnership with Finance
  • Connect resourcing decisions to financial implications, supporting better forecasting and planning
  • Highlight risks and inefficiencies early, with clear recommendations
Freelance & External Talent Management
  • Build and maintain a strong, reliable freelance bench
  • Oversee onboarding, contracts, and ongoing management of freelance talent
  • Make informed decisions on when and how to bring in external support to meet demand
Cross-Functional Partnership
  • Lead the weekly resourcing meeting with Account Services, Creative, and Strategy leadership
  • Maintain visibility into the New Business pipeline and advise on feasibility, timing, and staffing approach
  • Act as a trusted partner across teams—balancing studio needs, client demands, and team wellbeing
