The Director of Clinic Operations oversees the daily administrative, financial, and clinical functions of all community clinics operated by Saint Xavier University (the "University"). Responsible for the non-medical clinical services, provides direct management of all clinic personnel, including Nurse Practitioners ("Internal & Contract Field NPs") and Supervising Speech Language Pathologists. Responsible for strategic planning, employee supervision, regulatory compliance, budgeting, policy development, and workflow optimization to ensure that high-quality services are delivered as efficiently as possible.
Effectively manage internal and external cross-functional teams, coordinating and collaborating with the Health Center Director of Clinical Services and the Communication Science Disorders (CSD) Program Director. Ensure that clinical staff have the essential resources to treat patients/clients.
Oversee, plan, schedule, and supervise external promotion and event activities for all clinics, ensuring a balanced budget and sufficient patient/client volume to meet goals.
1. Management of employees at the Health Center, Ludden Speech and Language Clinic, and off-site clinics, including Nurse Practitioners, Collaborating Physician, Medical Assistants, Billing Specialists, Student Workers, Office Managers, and administrative personnel. This includes: recruitment, contracting, interviewing, hiring, promotion, performance evaluations, corrective action, training, professional development, certifications/license renewals, ensuring health requirements are fulfilled, benefits changes, terminations, and leaves of absence. Provide support for the hiring of Teaching Assistants in CSD. Motivate and elevate performance of staff through positive direction and team-building. Chair regularly scheduled department meetings. Produce monthly schedules to ensure adequate staffing. Responsible for ensuring 24/7 emergency coverage for patients is available.
2. Monitor the level and quality of care and service to all patients/clients at all clinics. Develop new and update existing policies and procedures. Ensure that new or revised policies and procedures are effectively communicated and implemented to staff. Manage productivity provided by staff and faculty and handle all service recovery. Tactical issue resolution of on-campus emergencies. Oversee site coordination, collaborating with Auxiliary Services, Facilities, and Food Service for special events and Speech and Language screenings.
3. Ensure compliance at each facility operating in accordance with organizational policies and federal, state, and local regulations. Contract and coordinate the disposal of all medical waste from the SXU campus, including the Health Center, Athletics, and School of Nursing, in accordance with regulations. Ensure proper vaccine storage, monitoring systems, and emergency electrical support are in place in accordance with pharmaceutical regulations. Oversee CLIA-waived laboratory license. Ensure staff compliance with Title IV and Security Mentor training. Participate in campus events hosted by other departments to foster relationships.
4. Oversee student immunization compliance for the entire student body and ensure the completion of related state reporting. Coordinate and approve health requirements for Speech Language Pathology students, ensuring they meet qualifications to attend clinical placements. Provide medical records to clinical sites.
5. Function as a change agent, demonstrating innovative, entrepreneurial thinking in response to competitive trends and business development opportunities. Develop and implement successful strategies regarding labor, client/patient growth, revenue growth, expense control, and quality of services, and review or redirect activities when necessary. Understand and demonstrate operating efficiencies and expense control. Optimize opportunities for growth of clinic operations. Participate in weekly Communication and Science Disorder department meetings providing input and support for program growth.
6. Responsible for all medical records generated from the Health Center, Ludden Speech and Language Clinic, and off-site clinics. Grant access based on position for providers, employees, and student clinicians; disposal of records according to University policy and State of Illinois guidelines. Ensure HIPAA compliance through consent form development and collection; and conduct periodic security audits. Receive and respond to privacy complaints. Collaborate with electronic medical record software vendor (Medicat) and perform software set-up to maximize staff productivity. Coordinate the integration of outside medical services providers with the SXU system for laboratory processing, claims submissions, and State of Illinois immunization registries. Provide input and support to the coordination of response to contagious disease threats to the university campus community.
7. Oversee patient/client billing to assure rapid collection of all revenue including pursuing/maintaining in-network provider status, insurance carrier reimbursement, patient payments, and collections. Forecast, prepare, present, implement and monitor financial performance including all expenditures and revenues. Ensure providers maintain CAQH profiles for credentialing and provider rosters for applications. Pursue and maintain provider status ensuring reimbursement through private insurance carriers and Medicare.
8. Forecast, prepare, present, implement and monitor budgets for the Health Center and Ludden Clinic including all expenditures and revenue for maximum financial performance and operational efficiency. Prepare purchase orders and approve invoices. Prepare monthly financial and ad hoc reports. Negotiate and maintain contracts for laboratory services, purchasing co-ops, medical waste disposal, interpretation services, medical supplies, vaccines and prescription drugs. Execute the purchase of health care equipment, software, supplies and vaccine purchases balancing revenue and expenses in addition to anticipating seasonal needs. Initiate and author grant applications for processing by the University Advancement team for campus health initiatives and the operating budget at Ludden Speech and Language clinic.
9. Manage the recordings, security, and maintenance of the recordings system (VALT) used at Ludden Speech and language clinic ensuring privacy regulations are followed and adequate space is available for session recording. Collaborate with the School of Nursing laboratory employees and the Information Technology department in the review of system procedures and protocol.
10. Develop and deliver training to Speech Language Pathologist, Speech Language Pathologist undergraduate and graduate students on the use of the electronic medical software and HIPAA compliance. Coordinate the security access and attend student orientations to provide instruction on access and proper use. Contract and oversee the functioning of equipment and services (HIPAA compliant Zoom account) needed for teletherapy. Primary administrator for the electronic medical record system for all clinics and interfaces with outside systems such as ICARE, Quest, Escreen and Formfax. Oversee contracting with vendor and providing access for user access and security levels. Conduct periodic security audits.
11. Direct, plan, schedule, and supervise internal and external marketing and event activities. Direct external marketing and outreach efforts to grow patient volume at the Health Center and off-site clinics and ensure adequate client volume at Ludden Clinic to provide necessary clinic hours for undergraduate and graduate student cohorts. Initiate and maintain partnership agreements with corporate clients to create new revenue streams.
12. Oversee, plan, schedule, and supervise event activities including internal and external health fairs, vaccine clinics, speaking engagements, CPR training, ROAR, and special events. Fosters positive and professional inter-departmental communications and establishes programs which stimulate and strengthen contacts. Coordinate requests to Public Relations on all advertising and promotional items. Executes updates to the SXU website and coordinates complex updates with University Relations
13. Oversight of physical space planning and maintenance at all clinic sites, oversee and coordinate equipment repair and calibration. Ensure a safe work and learning environment for students, employees and patients/clients. Perform emergency maintenance when necessary and support is unavailable.
14. Serves on University committees as required such as budgeting, staff development, strategic planning and professional personnel searches as needed.
15. Performs other job duties as assigned.
