Job description

Required Skills & Experience


•Minimum 1 year of administrative, office, receptionist, scheduling, or customer service experience.

•Strong phone presence with the ability to communicate politely, professionally, and confidently with customers and internal teams.

•Strong organizational skills and ability to manage multiple priorities in a fast-paced, service-based environment.

•Dependable, reliable, and able to work fully onsite Monday through Friday.

•Basic Microsoft Office skills, especially Excel for data entry, simple calculations, and working within pre-built templates.

•Comfortable learning and using CRM, scheduling, or customer management systems.

•Ability to fit into a small, lean, hands-on office environment and reduce administrative burden quickly.


Nice to Have Skills & Experience


•Prior experience in landscaping, construction, home services, specialty trades, contracting, plumbing, electrical, or another blue-collar/service-based business.

•Experience supporting scheduling, field teams, estimates, customer calls, or operational coordination.

•QuickBooks Online experience.

Job Description


Insight Global's client is seeking a reliable and organized Seasonal Office Administrator to support daily office operations, customer communication, scheduling, invoicing, and administrative coordination for a fast-moving business. This person will serve as a central point of contact for inbound customer calls, lead intake, calendar coordination, AP/AR support, and general office workflow. The ideal candidate is dependable, professional on the phone, comfortable working onsite in a small office environment, and able to quickly adapt to a service-based business that supports both office leadership and field operations.


Please note this is a seasonal role. The client operates from mid-to-late March through November and typically closes during the winter season from November through March.


Day-to-Day Responsibilities

•Answer incoming calls professionally, assist with customer intake, and direct inbound/outbound leads to the appropriate next step.

•Schedule appointments, manage calendars, and coordinate meetings for customers, leadership, estimators, and field operations.

•Support general office administration, including data entry, document organization, customer records, and day-to-day office workflow.

•Assist with accounts payable/accounts receivable support, invoicing, and basic financial administrative tasks.

•Provide scheduling and administrative support to leadership, including personal scheduling assistance as needed.

•Coordinate with estimators and field teams to help ensure customer requests, appointments, and operational needs are communicated clearly.

•Use Microsoft Office, especially Excel, for basic data entry, copy/paste functions, sums, subtotals, and maintaining pre-built spreadsheets.

•Utilize CRM or scheduling systems to track customer details, appointment notes, and follow-up activity.

•Support customer/client meeting coordination and help maintain an organized, responsive office environment.
