Sales & Production Assistant

AlphaGraphics Downtown Austin is a locally owned, premier marketing, digital print, and sign graphics shop. We are part of an interconnected family of four Central Texas AlphaGraphics locations, combining the high-agility, friendly feel of a close-knit print shop with the resources, technological backing, and career stability of a strong regional network. We are seeking an energetic, proactive, and versatile Sales & Production Assistant to join our Downtown Austin team. This dynamic, entry-level hybrid position acts as a crucial bridge between our Inside Sales team and our Large Format / Digital Print Production department. The workflow is anticipated to be split roughly 50/50 between sales support and hands-on print production, though daily responsibilities will naturally adapt based on shop volume, customer deadlines, and project priorities. Key Responsibilities
  • Client Relations: Greet incoming clients, answer multi-line phone calls with enthusiasm, and direct inquiries efficiently.
  • Quote & Order Handling: Intake customer job details, generate accurate project quotes, and process incoming print orders in our estimating system.
  • Sales Team Support: Assist senior inside and outside sales reps with quote preparation, order tracking, customer proof approvals, and client follow-ups.
  • Communication: Maintain clear, professional communication via email and phone regarding project timelines and job statuses.
  • Front-Desk Management: Handle customer order pick-ups and process payments cleanly and accurately.
  • Equipment Operation: Learn to operate high-speed digital presses, wide-format roll printers, and flatbed printing equipment.
  • Finishing & Assembly: Train and assist in print finishing operations, including trimming, mounting, laminating, binding, grommeting, and vinyl weeding/application.
  • Quality Assurance: Inspect finished jobs for color accuracy, resolution, size specifications, and overall quality prior to customer delivery.
  • Shop Maintenance: Assist with shop inventory management, stock organization, and maintaining a clean, safe, and efficient workspace.
  • Team Workflow: Collaborate closely with production leadership to ensure high-priority deadlines are met seamlessly.
Qualifications & Requirements
  • Prior experience in customer service, retail, or sales support preferred; a genuine desire to learn the print and sign industry is essential.
  • Exceptional verbal and written communication skills with comfort speaking with clients both over the phone and face-to-face.
  • Proficiency with basic computer systems, Microsoft Office Suite (Word, Excel, Outlook), and aptitude to quickly learn specialized print estimating software.
  • Strong attention to detail, excellent time management, and the ability to multi-task in a fast-paced environment.
  • A positive, proactive team player who thrives in a collaborative environment and steps up wherever needed.
  • High school diploma or equivalent required; vocational training or relevant college coursework is a plus.
Physical Requirements
  • Ability to frequently lift and move print materials, paper stocks, and signage supplies weighing up to 50 lbs.
  • Comfortable moving fluidly between seated desk work (answering calls, typing) and active shop floor production (standing, bending, lifting, walking).
  • Ability to stand and work on your feet for extended periods during high-volume production cycles.
