Position Summary

The Assistant Dental Practice Manager supports daily practice operations by ensuring front office process execution and maintaining short-term schedule performance. This role serves the Dental Practice Manager, team members, and patients by acting as an operational extension of practice leadership and proactively filling schedule gaps, stabilizing daily workflows, and ensuring the patient experience remains consistent when demands are highest. The core purpose is to protect schedule integrity, reduce open chair time, support the team in real time, and grow into a future practice leader.


Core Responsibilities

Level II: Independent front office execution, short-term schedule ownership, and real-time team support.

Schedule Management & Production Support

  • Own short-term schedule performance by proactively identifying and filling open time, confirming high-value appointments, and reducing no-shows and last-minute cancellations.
  • Manage unscheduled treatment lists by reviewing pending cases, executing outreach calls, and converting open treatment into booked appointments.
  • Confirm appointments and communicate with patients to reduce open chair time and protect daily production.
  • Identify and act on same-day scheduling opportunities in partnership with the clinical team to maximize chair utilization.

Front Office Operations

  • Assist with check-in, check-out, and phone operations during peak times to maintain patient flow and front office service quality.
  • Handle day-to-day operational disruptions quickly and effectively to keep the practice running smoothly.
  • Maintain a positive and professional patient experience through responsiveness, follow-through, and strong communication.

Team Support & Development

  • Assist with onboarding and training of front office team members, reinforcing workflows and setting clear performance expectations.
  • Provide real-time guidance and problem-solving support to front office staff, escalating issues to the Office Manager when appropriate.

Supervisory Responsibility

The Assistant Dental Practice Manager provides day-to-day support and informal guidance to front office team members in the absence or at the direction of the Dental Practice Manager. This role is expected to reinforce standards, address real-time performance concerns, and escalate to the Dental Practice Manager as needed.

Requirements:

Education & Qualifications

Required Experience

  • 1-2 years of dental or healthcare front office experience with demonstrated competency in scheduling, patient communication, and administrative processes.
  • Strong organizational skills and the ability to manage multiple competing priorities in a high-volume environment.

Required Education

  • High school diploma or equivalent.

Preferred:

  • Experience with dental scheduling software, insurance verification, and practice management platforms.
  • Prior exposure to supervisory responsibilities, team coordination, or training.
  • Track record of strong schedule performance and consistent reduction in cancellations and no-shows.
