Job description

Job Overview:

The Executive Communications Specialist provides administrative, communications, and project coordination support to the Executive Office. Reporting to the Executive Assistant to the CEO, this role serves as a key partner in supporting executive engagement activities, marketing initiatives, reporting needs, and cross-functional coordination efforts.

This individual will play a critical role in ensuring projects, communications, and executive-facing materials are organized, polished, and delivered effectively. The ideal candidate is highly organized, proactive, detail-oriented, and thrives in a fast-paced environment while managing multiple priorities. This will be hybrid position based out of our Nashville headquarters.

Key Responsibilities:

  • Executive Coordination & Calendar Support
    • Manage and maintain executive engagement calendars for the CEO and Executive Office initiatives
    • Partner with internal leadership to coordinate projects and deliverables
    • Assist in tracking key deliverables, milestones, and deadlines across projects
    • Track project status, timelines, deliverables, and key metrics. Communicate status updates and assist in keeping initiatives on track
  • Content Support Materials
    • Prepare, proofread, edit, and format presentations, proposals, executive one-pagers, and marketing collateral
    • Develop polished, executive-ready PowerPoint presentations and supporting materials
    • Maintain and organize a brand-compliant marketing asset library and shared resources
    • Assist with content updates and support light social media scheduling activities

Required Qualifications

Education:
Associate or Bachelor's degree in Marketing, Communications, Business Administration, or related field preferred.

Experience:

  • Minimum 1-2 years of experience in an administrative support, coordination, marketing, communications, or related role
  • Experience supporting executive-level work, project coordination, event support, or marketing initiatives preferred

Technical Skills:

  • Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook
  • Experience using CRM platforms such as Salesforce or HubSpot preferred
  • Familiarity with email marketing platforms and content management tools preferred
  • Experience with Canva or similar design tools preferred
  • Strong Excel skills and comfort creating reports and tracking tools
