Job description

This position is responsible for assisting the Foundation Department and The Foundation at Lake Charles Memorial Hospital with all office activities that include but are not limited to the processing of donations, correspondence, gift acknowledgments, meetings support, management of the donor database, mailing, and office supplies management.
This position will be under the direction of the Executive Director, Philanthropy. This position will work in collaboration with the Foundation team of staff, Foundation Board, committee members and volunteers, and other internal personnel as needed. Performs other work as assigned by the Executive Director.
SUPERVISION: Reports directly to the Executive Director, Philanthropy
RESPONSIBILITIES AND DUTIES:
  • Donation and Database Management: Applies industry best practices and Foundation guidelines in the area of gift processing, data management, and donor acknowledgments. Prepares and submits weekly batch reports to the Cashier and Finance Department. Participates in webinars and coaching sessions of the CRM database provider to learn best practices, and optimize the use of the online Donor CRM platform, according to foundation and Hospital policies.
  • General office management: Manages the department office spaces, department general communications (phone, email, and mail), inventory, supplies, and vendor management.
  • Meetings management: Coordinates, schedules, and manages logistical requirements of in-person and virtual meetings, conferences, and travel. Assist with the development of meeting packets, write and complete meeting minutes, prepare all other necessary supporting documents, and distribute to parties involved.
  • File management: Organize, update, and maintain department records, printed and electronic files, and other materials.
  • Event and Campaign support: Assist with all logistical and promotional activities in coordination with the Foundation team.
  • In Kind Donor Relationships: Identifies, develops, solicits and maintains in-kind donor partnerships to support fundraising event and campaign needs of the department.
  • Purchasing, Accounts Payable and Expense tracking: Handles department purchases, tracks vendor payments and submits the required expense reports. Processes funding requests from program administrators and/or departments for submission to the Executive Director, Capital Committee, and/or accounts payable departments.
  • Accounts Receivable: Sends invoices or reminder letters to donors.
  • Attending hospital functions, donor meetings and/or support foundation events as requested.
  • Prospect Research and appointment scheduling: Conduct research to assist the team in developing a pipeline of donors and meeting opportunities.
  • Perform various tasks or projects and provide team support as assigned.

EDUCATION AND WORK EXPERIENCE
  • A high school diploma is required. A college degree in Business, Marketing, Sales, Communications, or a related field is preferred.
  • At least two (2) years of related experience in event/meeting planning, data entry, office management, non-profit volunteer, fundraising, and leadership experience are required.
  • Experience working on CRMs or databases is a plus.
  • Volunteer management and community engagement experience are a plus.
  • Social media and graphic design proficiency are a plus.
  • A demonstrated proficiency in the use of new software and online tools.
  • Internet savvy, and proficient in the use of Microsoft Office software (specifically Word, Excel, and PowerPoint).
  • Multitasking, organizational, and time management experience are a plus.
  • Possesses a valid Driver's License.
  • Understanding of and commitment to the role and mission of Lake Charles Memorial Health System and The Foundation at Lake Charles Memorial Hospital.
  • Bilingual would be an asset.
