About the Position:

The Global Operations team is the connective tissue that makes Namati's mission possible. We ensure that staff across multiple countries have the tools, systems, and support they need to do their best work, and that our Washington, DC office runs like clockwork. From managing software and hardware to coordinating events and documenting the processes that hold us together, operations is where precision and creativity meet.

The Senior Associate, Global Operations will serve as a key contributor on the Global Operations team, supporting Namati's technology infrastructure, contributing to knowledge management across the organization, and owning day-to-day DC office management and reception functions. Reporting to the Senior Operations Officer based in New York, this role is ideal for an operations generalist who derives real satisfaction supporting people — someone who sees a broken process not as a nuisance, but as an opportunity to improve the experience of the whole team. 

We seek a teammate who is as comfortable troubleshooting a Zoom call as they are orienting a new staff member to the office. You bring a service orientation, strong organizational instincts, and a comfort with ambiguity and changing priorities as you support our teams. Our ideal candidate is highly organized, communicates clearly, and takes pride in follow-through, recognizing that behind-the-scenes work is critical to achieving any important mission.

Responsibilities include, but are not limited to:

DC Office Management

  • General office management, including routing calls and messages appropriately, mail collection, check deposits, plant care, maintaining coffee and stationery supplies, and other day-to-day tasks that keep the office running.
  • Serve as the primary liaison with building management on maintenance and repair needs.
  • Orient visitors and new staff to the DC office, ensuring a welcoming and accessible environment. 

Policies, Processes & Knowledge Management

  • Document and maintain standard operating procedures for key operational processes to ensure consistency and clarity across teams.
  • Support the ongoing maintenance and improvement of Namati's intranet (the Knowledge Hub), helping ensure content is accurate, accessible, and regularly updated.
  • Develop and maintain training and troubleshooting resources to help staff confidently adopt and use Namati's technology platforms.
  • Support change management efforts by creating communications, training materials, and guidance that help staff understand and adopt new or updated policies.
  • Coordinate travel insurance coverage for staff travel as needed.

Systems & Technology

  • Provide first-line IT support for Namati systems, answering basic staff questions, resetting passwords, and triaging basic technical issues.
  • Coordinate with Namati's external IT service provider for hardware troubleshooting, computer maintenance, and escalated technical issues.
  • Support Zoom calls and virtual meetings as technical host, ensuring smooth delivery of internal and external sessions.
  • Support the management of software licenses across the organization, ensuring staff have the tools they need and that subscriptions remain current and cost-effective.
  • Research, test, manage, support, and audit the implementation and use of new technology, platforms, and software licenses across the organization.
  • Manage Namati's US tech inventory and provide on-the-ground hardware and equipment support for the DC office.

Event Planning & Management

  • Support logistics for Namati Board Meetings, including venue selection, catering coordination, procurement, and day-of technical support.
  • Coordinate monthly office lunches, including selecting a catering option, communicating with staff, placing orders, and handling day-of setup.
  • Execute two DC-based staff gatherings per year, managing the full event lifecycle: communications, venue selection, catering, procurement, on-site execution, and post-event wrap-up.

Global Operations Team Support

  • Enter and track expense reports for the Global Operations team, ensuring accuracy and timely submission.
  • Facilitate Namati credit card purchases, ensuring adherence to organizational financial policies and maintaining detailed transaction records.
  • Provide operational and administrative support to the Global Operations team, including meeting coordination and note-taking, as well as backup support on event planning, logistical coordination, and Knowledge Hub updates.

Here’s what you might have tackled in the past week:

  • Placed an office supply order, coordinated with building management about an HVAC issue, and greeted a new staff member for their first day in the DC office.
  • Worked with Namati's external IT provider to troubleshoot a recurring issue with a staff member's laptop, and followed up to make sure the fix held.
  • After hearing feedback from staff on a software tool working suboptimally, researched alternative providers and created a shortlist for further vetting. 
  • Updated three Knowledge Hub pages with revised guidance after a particular policy change, and drafted a quick "what's new" summary to share with staff over Slack.
  • Ran tech support for a hybrid Board meeting: managing the Zoom room, troubleshooting audio issues, and ensuring seamless remote engagement.
  • Tracked receipts and reconciled credit card transactions for the Global Operations team, flagging one charge for follow-up.

About You

  • A track record of operational excellence: You bring at least two (2+) years of professional experience in operations, office management, or a related administrative or support role. Your colleagues know you as reliable, thorough, and proactive — someone who follows through without needing reminders.
  • Strong organizational instincts: You manage competing priorities with clarity and composure. You anticipate what's coming, build systems to stay on top of it, and don't let details fall through the cracks.
  • A service orientation: You genuinely enjoy supporting people and making things work better for those around you. Whether it's helping a colleague with a tech issue or ensuring a Board meeting goes flawlessly, you bring the same care and attention to every task.
  • Ease with technology: You learn new tools quickly, troubleshoot calmly under pressure, and look for ways to use tech to make work more efficient. Experience with Google Workspace, Zoom, Slack, and IT ticketing is strongly preferred. Familiarity with platforms like HubSpot, Salesforce, Asana, or 1Password is a plus.
  • Clear, professional communication: You write and speak with precision and warmth. Your emails are clear and typo-free; your documentation is organized and accessible. You know how to translate technical information for non-technical audiences.
  • Collaborative and adaptable: You work well with a small, fast-moving team and are comfortable shifting gears as priorities evolve. You take feedback graciously, offer your own ideas with confidence, and are committed to continuous improvement — in your work and in the systems around you.

Location

This position will be based in Washington, DC. Please note that you must already be legally authorized to work in the United States to be considered; Namati cannot sponsor visas for this position.

Given the nature of this role — including on-the-ground IT and office support — in-office presence at our office near DuPont Circle will be a regular and important part of the job. This person should expect to be on-site at least 3 days per week, with occasional flexibility for remote work. 

Compensation

Namati's staff position bands range from 1 (entry level/assistant) to 9 (managing director). This position will be at band 3.

We base our compensation on the markets where our staff operate. The offer range for this position is likely to fall between $68,000-$75,000 based on the final job level determined by the responsibility, scope, and complexity of the position; most offers are made in the first half of the offer range. We will discuss salary requirements and potential job banding with candidates early on in the hiring process to ensure alignment in the initial stages.

Namati offers a broad range of benefits, including:

  • Health insurance: we pay 80% of the base plan premium for employees, and 50% for dependents.
  • Paid time off: new staff have 12 sick days and 3 personal days, and accrue 15 days of paid vacation (increasing to 20 after two years). Namati closes its offices organization-wide for “winter break” from December 25 to January 1. Additionally, we provide six weeks of paid parental leave. 
  • 401(k) retirement planning: Namati contributes 5% of your salary plus matches your contribution up to an additional 5%.
