Short Description

The Department Secretary serves as the first point of contact for patients and visitors, helping to create a welcoming and positive patient experience while managing daily front office operations. Working closely with the Program Manager and Nursing Staff, this role coordinates appointments, answers incoming phone calls, registers patients, verifies insurance coverage, and obtains prior authorizations. The Department Secretary also supports departmental operations through the management of superbills, coordination of special patient needs, the collection of performance improvement data, and various clerical needs.

Responsibilities:

  • Greet patients and visitors, answer incoming calls, and provide exceptional customer service using AIDET principles to ensure a positive patient experience. 
  • Schedule appointments, coordinate patient flow, and complete accurate patient registration.
  • Verify insurance eligibility and benefits and obtain prior authorizations when required. 
  • Assist with billing-related activities, including the preparation, processing, and management of superbills. 
  • Maintain accurate patient records and ensure timely completion of clerical and administrative documentation.
  • Assist the Program Manager with the collection of performance improvement data. 
  • Provide administrative support to the Wound Care team as needed, including but not limited to clerical, office, and customer service functions to promote efficient departmental operations.
Experience Required

0-2 years of related experience preferred. 

Education Requirements

High School / GED required.
