Job description

Senior Administrative Assistant - Central Campus
PRIMARY FUNCTION: Provide administrative support to Campus Services and Dean of Administration.
Essential Job Functions:
  • Provide administrative support for the office by greeting visitors, addressing inquiries, and assisting with general office operations. Responsibilities include but are not limited to managing the front desk and transaction window, maintaining records, answering phones, and delivering excellent customer service to our internal and external constituents.
  • Assist Campus Services and the Dean of Administration in access management of all workspaces and instructional areas to maintain a safe and secure campus. This includes maintaining key requests files, managing vehicle requests, and locking/unlocking doors to buildings, classrooms, and labs for campus events and instructional functions.
  • Assist Dean of Administration with budget-related duties. Responsibilities include but are not limited to processing requisitions/purchase orders, journal vouchers, invoices, travel reimbursements, P-card statements, and all related reporting.
  • Submit EPAFs for Dean of Administration reporting departments.
  • Provides support in the processing of part-time faculty employment documents.
  • Performs general office duties such as type letters, memos, emails and ad hoc reporting as required.
  • Assist with various special events, activities, assignments, and projects assigned by the Dean of Administration and/or Coordinator of Events & Campus Services.
  • Assist with the scheduling of events and reports as needed.
  • Assist in managing calendars, scheduling appointments, and coordinating meetings, ensuring all parties are informed and well-prepared.
  • Works with the Dean of Administration and Coordinator of Events & Campus Services to update brochures, materials, or the website for the department.

Additional Job Functions:
  • Logging & maintaining lost and found items.
  • Logging & distributing vending machine refunds for employees, students, and guests.
  • Apply and maintain notary public designation to offer services for employees and students.
  • Submit maintenance and ITS requests as needed.
  • Replenish first-aid kits as needed.
  • Ensure that the department workroom and supplies cabinets are organized and replenished.
  • Perform other job-related duties as assigned.

Knowledge, Skills and Abilities:
  • Ability to demonstrate the College values
  • Must project a professional image, have excellent telephone etiquette and communication skills
  • Must be extremely accurate and have excellent proofreading, grammar and spelling skills
  • Must be able to work in a team environment, be flexible with good public relations skills, work well with details and deadlines, balance multiple tasks, analyze and solve problems and work independently in a fast-passed office environment
  • Basic skill level in Microsoft Office (Word, Excel & PowerPoint)

Required Education:
  • High school diploma or equivalent

Preferred Education:
  • Above requirement plus one year of specialized or technical training beyond high school

Required Experience:
  • Three years of office, clerical or administrative support experience; or an equivalent combination of education and experience to successfully perform the essential duties of the job

Preferred Experience:
  • Above requirement including one or more years in a higher education environment

Note: The duties of this position require a physical presence at the assigned on-site work location during unrestricted operations with very limited or no opportunity for remote work arrangements.
