YMCA of the North Shore
Help Keep Our Operations Running Smoothly Behind the Scenes

If so, the YMCA of the North Shore is looking for an Operations & Systems Specialist to join our Administration team!
In this role, you'll be a key resource supporting the YMCA's daily operations through Daxko system administration, accounts receivable support, operational reporting, and third-party partnership coordination. You'll work closely with local YMCA teams, Finance, Membership, Child Care, and external partners to ensure our programs are accurately built, billing processes run smoothly, and operational systems support the exceptional experiences we provide to our members and community.

What You'll Do
Daxko System Administration
  • Build and maintain programs, memberships, camps, childcare, and other operational offerings within Daxko.
  • Configure pricing, discounts, registration rules, capacities, schedules, and related system settings.
  • Troubleshoot Daxko issues and provide support to YMCA staff across the association.
  • Maintain system standards, naming conventions, and data integrity.
  • Identify opportunities to improve workflows and reduce manual processes.
  • Assist with testing new Daxko functionality and system enhancements.
Accounts Receivable Support
  • Support operational accounts receivable processes across the association.
  • Research payment discrepancies and resolve account issues.
  • Partner with YMCA teams to reconcile outstanding balances.
  • Monitor aging reports and assist with monthly reconciliation activities.
Third-Party Partnerships
  • Coordinate administrative support for partnerships with:
    • School districts
    • Community organizations
    • Camp partners
    • Membership partners
  • Help ensure partner programs, billing, and operational processes are accurate and efficient.
Operational Support & Collaboration
  • Work collaboratively with Finance, Membership, Child Care, local YMCA teams, and external partners.
  • Generate operational reports and assist with data accuracy.
  • Recommend process improvements that increase efficiency and enhance the user experience.
  • Deliver exceptional customer service while supporting staff across multiple YMCA locations.
What We're Looking For

Preferred Qualifications
  • Experience working with CRM, membership management, ERP, or database systems (Daxko experience is a plus).
  • Experience supporting accounts receivable, billing, finance, or administrative operations.
  • Strong analytical and problem-solving skills with exceptional attention to detail.
  • Excellent organizational skills and the ability to manage multiple priorities.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office and the ability to quickly learn new software systems.
  • Ability to work independently while collaborating effectively with cross-functional teams.
  • Passion for providing outstanding internal customer service.
