They are seeking a detail-oriented Database Coordinator to ensure the accuracy and integrity of donor records while supporting fundraising, finance, and compliance initiatives.
Job Description:
The Database Coordinator is responsible for maintaining the organization's donor database, processing charitable contributions, reconciling donation records, preparing reports, and supporting audit activities. This position works closely with the Development and Finance teams to ensure donor information and financial records remain accurate, timely, and compliant with organizational policies.
Key Responsibilities:
- Maintain and update donor and constituent database records with a high degree of accuracy.
- Process and record donations, pledges, recurring gifts, grants, and matching gifts.
- Reconcile daily, weekly, and monthly donation records between the donor database, accounting software, fundraising platforms, and bank deposits.
- Investigate and resolve discrepancies in donor contributions and financial records.
- Create and maintain spreadsheets to track donations, campaigns, reconciliations, and financial reporting.
- Generate reports for fundraising campaigns, executive leadership, finance, and the Board of Directors.
- Prepare documentation and reconciliation reports for internal and external audits.
- Perform database maintenance, including duplicate record cleanup and data quality reviews.
- Ensure compliance with nonprofit accounting standards, donor restrictions, and confidentiality policies.
- Collaborate with Development and Finance teams to improve reporting processes and database efficiency.
Qualifications:
- Associate's or Bachelor's degree in Business, Accounting, Finance, Information Systems, Nonprofit Management, or a related field preferred.
- Minimum of two years of experience in nonprofit database management, donor services, fundraising operations, or accounting support.
- Advanced Microsoft Excel skills and data reconciliation.
- Experience reconciling financial transactions and donation records.
- Strong analytical, organizational, and problem-solving skills.
- Excellent written and verbal communication skills.
- Ability to manage confidential information with professionalism and discretion.
- High level of accuracy and attention to detail.
Additional Details:
- Experience supporting financial audits is highly preferred.
- Knowledge of nonprofit accounting principles and donor compliance is a plus.
- Ability to prioritize multiple projects and meet deadlines in a fast-paced environment.
