Job description

POSITION TITLE: Grants & Contracts Coordinator
REPORTS TO: General Counsel/Chief Compliance
CLASSIFICATION: Non- Exempt
POSITION SUMMARY: The Grants & Contracts Coordinator will assist General Counsel/Chief Compliance Officer by being responsible for managing the day- to day administration of contracts and ensuring the accuracy of contracts. This position has responsibility for demonstrating the core values of CareSTL Health: Customer Service, Community, Commitment, Compassion, and Competence.
ESSENTIAL FUNCTIONS:
The following information is considered the definition of essential functions but does not restrict the tasks that may be assigned. The Grants & Contracts Coordinator may be reassigned duties and responsibilities at any time due to reasonable accommodation or other staffing reasons.Other duties may be assigned.
  • (1) Monitor grants & contracts and move forward with close-out, extension or renewal according to what's best for the company and solve any contract-related problems that may arise with other parties and internally with the company itself.
  • (2) Craft, evaluate, review and monitor a wide variety of different contracts covering a range of transactions.
  • (3) Mitigates common contract management risks, such as financial, legal, and security risks.
  • (4) Communicate and present information to stakeholders about all contract and grant-related matters.
  • (5) Creates a database of contract templates, such as non-disclosures, non-competes, release forms, partnership agreements, purchase orders, employment contracts, and independent contractor agreements.

OTHER DUTIES:
  • Maintains confidentiality of all contracts & grants.
  • Responds to requests from internal departments and makes sure all grants & contracts are drafted and executed promptly and correctly.
  • Develops strong working relationships with colleagues across departments and seniority levels.
  • Adheres to all federal, state, and local business laws and regulations and company policies.
  • Create and maintain relationships with suppliers and serve as the singular point of contact for matters concerning contracts in accordance with company policies
  • Maintain records for correspondence and documentation in relation to established contracts and those in progress.

KEY PERFORMANCE INDICATORS (KPI):
  • Ensure ≥ 95% of active grants and contracts remain compliant with internal policies, funder requirements, and regulatory obligations through regular monitoring and reporting.
  • Achieve ≥ 90% on-time execution of contract/grant close-outs, renewals, or extensions prior to expiration dates.
  • Maintain ≥ 98% accuracy in internal and external grant/contract compliance reports, including financial reconciliations and deliverable tracking.
  • Resolve ≥ 90% of contract- or grant-related compliance issues or stakeholder inquiries within 5 business days.
  • Maintain 100% of active contracts and grants stored in the centralized database using standardized templates.

JOB REQUIREMENTS AND QUALIFICATIONS:
Education:
  • High School Diploma/GED
  • Associate degree in business administration, finance, project management or related field preferred

Experience:
  • Some related experience in business administration, finance, project management or related field preferred.

Knowledge, Skills and Abilities:
  • Good oral and verbal communication skills.
  • Knowledgeable of payer and vendor contract management
  • Good organizational and self-motivational skills.
  • Excellent interpersonal and customer service skill
  • Excellent time management skills with a proven ability to meet deadlines.
  • Strong analytical and problem-solving skills.
  • Ability to function well in a high-paced and at times stressful environment.
  • Proficient with Microsoft Office Suite or related software

  • Must have reliable transportation

  • Current Registration with the Missouri Family Care Safety Registry
  • PPD or Chest X-Ray

  • Clinic hours are Monday - Friday 8 a.m. to 5 p.m.
