Job description

Summary
The Coordinator, Program Management is responsible for coordinating trainee activities associated with the accreditation and administration of Baylor College of Medicine (BCM) Pediatric Allergy and Immunology Fellowship Program. This position supports the recruitment and selection of trainees and observers; manages scheduling, rotations, and program records; and assists in the coordination of evaluation processes for trainees and teaching faculty. The Coordinator provides administrative and operational support to academic program directors and serves as a resource for trainees and observers to ensure smooth program operations and compliance with institutional and accreditation standards.
Job Duties
  • Manages and coordinates accreditation site visits.
  • Maintains and updates web-based resources; and compiles and submits required reports for ACGME, ABIM, and Baylor GME.
  • Maintains the GME Track and manages annual systems such as MedHub, oversees ERAS and NRMP sites, and prepares required reports.
  • Maintains fellowship manuals (electronic and hard copy as required); facilitating EEO downloads; reviewing applications; screening candidates for interviews; coordinating interviews; and communicating with applicants.
  • Compiles and submits in-training exam data, proctoring examinations, and distributing exam reports.
  • Manages fellow appointment processes and credentialing verification.
  • Assists with poster presentation preparation.
  • Monitors fellow compliance; and oversees the distribution and coordination of rotators and student rotators, including monitoring their educational experiences.
  • Assists with fellowship recruitment and selection; serving as a liaison between GME, AIDP, and fellows; and coordinates educational activities such as weekly conferences, orientations, retreats, and joint program meetings. 
  • Performs other job-related duties as assigned.
Minimum Qualifications
  • High School diploma or GED.
  • Two years of relevant experience.
Preferred Qualifications
  • Some college or equivalent management coursework.
  • ACGME certification as a program coordinator.
