Role Overview

DJ&A is preparing to transition from our current CRM platform to Deltek VantagePoint, and we are seeking a CRM Manager to lead this implementation and establish the foundation for long-term success.

This role will guide the firm through system configuration, data migration, workflow design, governance development, and firmwide rollout, with a target implementation by year-end. Following launch, the CRM Manager will serve as system owner, driving adoption, reporting, and continuous improvement across cross-functional teams.

The CRM Manager is both a hands-on system owner and a strategic partner to DJ&Aโ€™s business development and marketing team. This position is ideal for someone who enjoys building structured systems, leading change across teams, and translating CRM data into actionable business insight.

Key ResponsibilitiesCRM Transition and Implementation Leadership (Year 1 Priority)
  • Lead DJ&Aโ€™s transition from their current CRM platform to Deltek VantagePoint.
  • Partner with leadership to define CRM strategy, governance framework, and success metrics.
  • Configure system architecture, fields, workflows, permissions, and stage-gate processes aligned with business development and proposal operations.
  • Oversee CRM data audit, cleanup, mapping, and migration from the legacy system
  • Develop and execute a structured CRM rollout strategy and training plan to drive successful firmwide CRM adoption.
  • Develop post-launch support structure and continuous improvement roadmap.
Ongoing CRM Ownership & Optimization
  • Serve as the firm-wide administrator and subject matter expert for the Deltek VantagePoint CRM platform.
  • Maintain and continuously improve CRM structures, workflows, and permissions, and data governance standards.
  • Monitor system health, data integrity, and adherence to established processes.
User Adoption, Training & Support
  • Drive CRM adoption across business development, marketing, and technical staff.
  • Develop and deliver user training, documentation, and guidance tailored to different roles.
  • Provide ongoing support to users, helping teams efficiently enter, retrieve, and interpret CRM data.
  • Identify adoption gaps and implement practical solutions to improve engagement.
Business Development, Pipeline, and Proposal Integration
  • Align CRM usage business development goals and growth strategy.
  • Design and maintain opportunity stage-gate processes, data standards, and data governance policies that support consistent go/no-go decision-making.
  • Establish clear accountability frameworks and processes so technical staff maintain accurate and timely opportunity data.
  • Monitor pipeline data quality, proactively identifying gaps and working with technical teams to resolve them.
  • Collaborate with proposal leadership to define how CRM data is used throughout the proposal lifecycle, including capture planning, teaming, resume/project selection, and post-submittal tracking
  • Ensure client intelligence, relationship data, and win/loss insights are consistently incorporated into pursuit strategy discussions
Reporting, Dashboards & Insights
  • Develop and maintain dashboards and reports that provide clear visibility into pipeline health, client activity, and business development performance.
  • Translate CRM data into actionable insights for leadership and proposal teams.
  • Continuously refine reporting to meet evolving business needs.
Process Improvement & Cross-Functional Coordination
  • Document and improve CRMโ€‘related business development processes.
  • Coordinate with business development, operations, and IT as needed to ensure CRM aligns with firm-wide workflows.
  • Support CRMโ€‘related changeโ€‘management initiatives, including system enhancements and upgrades.

QualificationsCore Competencies
  • Experience in the AEC (architecture, engineering, construction) or professional services industry
  • 3โ€“7+ years of experience in CRM management, business development operations, marketing operations, or a related role
  • Hands-on experience administering a CRM system (Deltek VantagePoint experience strongly preferred)
  • Demonstrated ability to improve data quality, user adoption, and reporting
  • Strong organizational skills and attention to detail
  • Ability to communicate effectively with both technical and non-technical users
  • Experience developing and delivering a training program
Preferred
  • Demonstrated success leading a major system or process change initiative
  • Familiarity with business development, proposal processes, and pipeline management
  • Experience developing dashboards, KPIs, and performance reporting for leadership
  • Experience contributing to or leading CRM implementation, migration, or major system rollouts

What Success Looks Like (First 12โ€“18 Months)
  • Successful implementation of Deltek VantagePoint CRM by year-end, including clean and validated data migration
  • CRM data is trusted, consistently used, and visibly supports business development decisions
  • Users actively engage with Deltek VantagePoint as part of their daily workflows
  • Leadership has clear, reliable visibility into pipeline health and pursuit priorities
  • Proposal teams regularly leverage CRM insights to inform strategy
  • CRM processes are documented, repeatable, and scalable as the firm grows
Physical Requirements
  • Ability to sit, stand, and use computer equipment for extended periods
  • Occasional travel to project sites, including outdoor environments and construction areas
