ABOUT THE OPPORTUNITY

The Project Coordinator will support the day-to-day coordination and operations of ONE Data, helping ensure that projects, workflows, and key deliverables move forward efficiently and on time. This role will focus on project coordination, team operations, internal communications, and administrative support in a fast-paced, entrepreneurial environment.

Working closely with the Managing Director and in collaboration with colleagues across policy, product, data, finance, legal, and operations, the Project Coordinator will help maintain project plans, track deadlines and action items, support budget and grant administration processes, and contribute to team planning and reporting.

This is an exempt role that requires the ability to work independently, exercise sound judgment, manage competing priorities, and make practical recommendations that help advance team goals. This role serves as a central coordination point for the broader ONE Data team, independently exercising sound judgment to prioritize competing needs, anticipate coordination gaps, and ensure the full team stays aligned, organised, and operating effectively.

The ideal candidate is a proactive and dependable coordinator with strong project management instincts, excellent communication skills, sound judgment, and an interest in development, policy, and data-driven work.

IN THIS ROLE, YOU WILL
  • Coordinate day-to-day project workflows for ONE Data initiatives, using judgment to help keep deliverables, timelines, and priorities organized and on track.
  • Maintain project trackers, workplans, and internal systems to monitor progress, deadlines, owners, risks, and next steps across multiple workstreams.
  • Independently assess competing deadlines and coordination needs, flagging risks and recommending practical solutions to keep work moving forward.
  • Schedule meetings, prepare agendas, document action items, and follow up to help ensure decisions are captured and next steps are clearly understood.
  • Support cross-functional coordination across ONE Data and with colleagues in policy, advocacy, communications, finance, legal, and operations.
  • Help prepare internal updates, status reports, and planning materials for leadership and key stakeholders, synthesizing information clearly and accurately.
  • Support budget and grant administration processes by tracking project-related expenses, invoices, contracts, and other documentation in coordination with relevant internal teams.
  • Support donor and grant reporting processes by helping gather inputs, organize materials, track deadlines, and identify where additional follow-up is needed.
  • Provide operational and administrative coordination across the ONE Data team, including support for the Managing Director, team-wide scheduling, expense reconciliation, meeting logistics, and other operational needs.
  • Identify workflow bottlenecks, coordination gaps, and opportunities to improve team processes, systems, and ways of working.
  • Undertake additional coordination, administrative, and light research tasks as needed to support team priorities, exercising discretion and judgment in determining when to act independently and when to escalate.
WHAT YOU BRING TO ONE
  • Bachelor's degree or equivalent relevant work experience.
  • 2+ years of relevant professional experience in project coordination, team operations, administration, program support, or a related role.
  • Strong organizational skills and excellent attention to detail.
  • Ability to manage multiple projects and shifting priorities in a fast-paced environment with limited day-to-day direction.
  • Sound judgment, discretion, and the ability to determine when to act independently, when to seek input, and when to escalate issues.
  • Strong written and verbal communication skills, with the ability to draft clear updates and coordinate effectively across teams.
  • Experience supporting workflows, timelines, meetings, and deliverables across multiple stakeholders.
  • Comfort using project management and collaboration tools such as Asana, Google Workspace, Microsoft Office, or similar platforms.
  • Ability to handle sensitive information with discretion, professionalism, and sound judgment.
  • A proactive, resourceful, and collaborative working style.
  • Interest in global development, public policy, advocacy, data, or mission-driven work.

PHYSICAL REQUIREMENTS / WORK ENVIRONMENT / TRAVEL

COMPENSATION AND BENEFITS

$55,000 – $65,000 per year

Pay range as posted reflects the minimum to the midpoint of the external market salary range that ONE has adopted for this job level in the US. This salary range is based on compensation survey data for similar organizations and is used to set pay internally at ONE. Where a new hire's salary falls within this range is based on a variety of factors, including the budget available for this position.
