Key Responsibilities:

  • Greet visitors, answer incoming calls, and respond to inquiries in a friendly and professional manner, providing exceptional customer service at all times.
  • Assist in scheduling service appointments, coordinating with customers and technicians to ensure availability and efficient scheduling.
  • Maintain accurate and organized customer records, including contact information, service history, and any special instructions or preferences.
  • Process and manage service requests, ensuring proper documentation, accurate data entry, and timely follow-up with customers.
  • Coordinate with technicians and service teams to track job progress, update schedules, and address any changes or emergencies.
  • Assist in generating and managing invoices, ensuring accuracy and timely submission to customers.
  • Manage and maintain office supplies and equipment inventory, replenishing items as needed to support daily operations.
  • Assist in preparing reports, presentations, and other documents as required.
  • Handle administrative tasks, such as filing, scanning, and organizing documents and records.
  • Support the coordination of training sessions, meetings, and events as required.
  • Collaborate with other team members and departments to ensure effective communication and a smooth workflow.
  • Uphold company policies and procedures, ensuring compliance with relevant regulations and guidelines.

Qualifications:

  • Proficient computer skills, including experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
  • Excellent communication skills, both written and verbal, with a friendly and professional demeanor.
  • Ability to work independently and collaboratively within a team, depending on project requirements.
  • Strong problem-solving skills and the ability to think on your feet.
