Job description

Department: Operations/Plant Reports to Plant Manager
Position Summary: We're looking for an operations assistant who can own the transactional backbone of our shipping and receiving process while supporting day-to-day plant needs. This role is less about moving boxes and more about making sure every moment is accurately recorded, tracked, and supported in our systems. You'll also be responsible for keeping the plant supplied by managing orders for consumables and office supplies. Accuracy, urgency, and follow-through are critical in this role.
Key Responsibilities:
Shipping and receiving (transactional focus):
  • Process all inbound and outbound shipments in ERP/WMS systems with high accuracy,
  • Generate shipping documents (BOLS, packing lists, labels, ASN documentation as required),
  • Verify receipts against purchase orders and resolve discrepancies with vendors and internal teams,
  • Coordinate with warehouse and production teams to ensure timely and accurate order flow,
  • Track shipments and proactively communicate delays or issues,
  • Maintain organized digital and physical shipping/receiving records,

Procurement Support (Consumables and office Supplies):
  • Monitor levels of consumables (packaging materials, shop supplies, etc.), and reorder as needed,
  • Place and track purchase orders to maintain uninterrupted plant operations,
  • Source cost-effective options while maintaining quality and supplier reliability,
  • Order and manage office supplies for plant operations,
  • Maintain supplier records, pricing, and lead times

Administrative and Coordination:
  • Support plant reporting related to shipping and receiving activities,
  • Maintain organized documentation for audits and compliance,
  • Communicate effectively with vendors, carriers, and internal teams,
  • Assist with continuous improvement efforts in shipping/receiving processes

Qualifications:
  • 2+ years of experience in operations, logistics, shipping/receiving, or similar role,
  • Experience with ERP or warehouse management systems (SAP, Oracle, NetSuite, etc.),
  • Strong attention to detail and data accuracy,
  • Proficient in Microsoft Excel and general computer systems
  • Ability to manage priorities in a fast-paced environment
  • Strong communication and problem-solving skills

Preferred Qualifications:
  • Experience in a manufacturing or plant environment
  • Basic procurement or purchasing experience
