Receptionist

Salary Range: $40,000 to $50,000 annually

The Receptionist serves as the first point of contact for customers visiting or calling the Body Shop at our large auto dealership. This role is responsible for providing exceptional customer service, managing administrative tasks, scheduling appointments, and ensuring smooth operations in the collision repair center. The ideal candidate is professional, organized, and thrives in a fast-paced automotive environment.

Key Responsibilities
  • Greet customers warmly and professionally upon arrival, determine the nature of their visit, and direct them to the appropriate department or personnel.
  • Answer incoming phone calls promptly, handle inquiries, schedule repair appointments, and take detailed messages.
  • Open and manage repair orders for incoming vehicles, ensuring accurate documentation of customer information and vehicle details.
  • Assist customers with insurance paperwork, estimates, and repair authorizations.
  • Update customers on the status of their vehicle repairs and coordinate vehicle pick-up times.
  • Process payments, invoices, and perform basic cashier duties using POS systems.
  • Maintain an organized and clean reception area.
  • Coordinate with technicians, service advisors, and management to ensure efficient workflow.
  • Handle administrative tasks such as filing, data entry, and preparing reports as needed.
  • Provide excellent customer service throughout the repair process to ensure high satisfaction.
Qualifications and Requirements
  • High school diploma or equivalent; associate's degree or relevant certification preferred.
  • Previous experience in a receptionist, customer service, or administrative role, preferably in an automotive dealership or body shop setting.
  • Strong communication and interpersonal skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and familiar with dealership management software (CCC One, Dealertrack) is a plus.
