BIC Data Integrity Assistant

Cooley is seeking a BIC Data Integrity Assistant to join the Business Intake and Conflicts team.

Position Summary:We are seeking a highly motivated business professional to join our BIC QA & Compliance team as a Data Integrity Assistant. This role is critical to supporting the firm's expanding data and reporting initiatives by ensuring the accuracy, integrity, and timely maintenance of client and matter information across BIC systems. The Data Integrity Assistant will play a key role in supporting the firm's integrated data strategy, including the preparation, and loading of client engagement letters into the Terms database for structured coding and downstream reporting.

In this role, the Data Integrity Assistant will support the ongoing management of engagement letters, waivers, and related client documentation, as well as assist with party linking, client and matter maintenance, and inclusionary ethical wall support. The position will work closely with Compliance Analysts and other BIC team members to ensure engagement terms are captured consistently and accurately, enabling BIC, Information Governance, Billing, and other stakeholders to identify and report on key provisions such as AI use restrictions, work product ownership, and fee arrangements.

The successful candidate will be detailoriented, organized, and comfortable working in a fastpaced environment that requires balancing highvolume, processdriven work with a strong focus on accuracy and customer service. This role provides an opportunity to contribute to foundational compliance and data integrity work while supporting the firm's broader risk management and operational goals. Specific duties and responsibilities include, but are not limited to, the following:

Position responsibilities:

  • Maintain the firm's client administrative files by processing and filing all engagement, disengagement and waiver letters received by the department

  • Link parties in Open to approved and finalized matters

  • Prepare, process, and review client and matter closure requests for completion or assignment to a Compliance Analyst when necessary

  • Prepare and process client and matter name change requests

  • Maintain inclusionary ethical walls in the Firm's ethical walls database

  • Clean-up outstanding Open requests from departing or departed timekeepers and secretaries

  • Implement and maintain database warnings and alerts

  • Continually process reports associated with various database clean-up projects

  • Assist with department projects as necessary

  • Participate in proof-of-concept testing of new technologies or solutions

  • Communicate with all users regarding intake issues and risk management procedures pertaining to the opening of new client/matters as well as status of requests via email and by phone

  • All other duties as assigned or required

Skills and experience:

Required:

  • After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office suite, iManage and other firm applications

  • Available to work overtime, as required

Preferred:

  • Bachelor's Degree

  • Prior experience in a law firm, legal environment or conflicts department

  • Prior experience with Security Database technology for Ethical Walls

  • Prior experience with Workflow tools and systems

The expected hourly pay range for this position with a work schedule of 37.5 hours per week is $24.50 - $36.50 ($47,775.00 - $71,175.00 annually). Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate.
