Job description

We are seeking a dependable and compassionate Administrative Assistant to support our Trauma Recovery Center (TRC), a trauma-informed program serving individuals impacted by violent crime. This role is often the first point of contact for clients and plays a key part in keeping services organized, accessible, and running smoothly.

The ideal candidate is detail-oriented, professional, and comfortable balancing front-desk responsibilities with scheduling and data tracking.

Key Responsibilities

  • Answer incoming phone calls and respond to inquiries in a professional and trauma-informed manner
  • Schedule, confirm, and manage client appointments for therapy, case management, and peer support services
  • Greet clients and visitors and help maintain a welcoming, confidential environment
  • Maintain accurate client records and administrative files in compliance with HIPAA
  • Enter and track service data, outcomes, and program activity in electronic systems
  • Assist with compiling reports for program monitoring and funder requirements
  • Support general office operations, including filing, scanning, copying, and correspondence
  • Communicate effectively with clinical and program staff regarding scheduling and administrative needs

Qualifications

  • High school diploma or GED required (associate degree preferred)
  • 1–2 years of administrative, front-desk, or office support experience
  • Strong organizational skills and attention to detail
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Ability to handle sensitive information with discretion and professionalism
