General Summary
The Data Entry & Administrative Support position provides administrative and operational support to ensure the efficient day-to-day functioning of the program. This role is responsible for data entry, documentation, scheduling, financial recordkeeping, and assisting leadership with program coordination while maintaining compliance with agency policies and applicable state regulations.
Essential Job Responsibilities
Administrative Support
• Perform accurate data entry and maintain organized filing systems.
• Ensure all individual documentation is completed accurately and submitted in a timely manner.
• Assist with general administrative tasks as assigned.
Scheduling & Program Coordination
• Collaborate with administration and staff to develop and maintain daily schedules for activities and community outings.
• Coordinate resources to ensure services are delivered efficiently.
• Assist administration in resolving scheduling conflicts and operational issues.
Financial Responsibilities
• Manage daily petty cash transactions.
• Complete weekly petty cash reconciliations and money counts.
• Maintain accurate financial records.
Documentation & Compliance
• Monitor medication administration records (MARs).
• Ensure documentation complies with agency policies and state requirements.
• Report concerns to the Director.
Staff Support & Program Improvement
• Serve as a positive role model.
• Assist with staff teaching strategies.
• Report concerns and recommend improvements.
Qualifications & Education
• Must be at least 18 years of age.
• Valid driver's license, insurance, and reliable transportation.
• Pass required criminal background checks.
• CPR/First Aid certification (or obtain).
• TB test within past two years.
• Complete required training.
• Effective written and verbal communication.
• Follow instructions and accept supervision.
• Work collaboratively with kindness and professionalism.
