Administrative Assistant

Pittsburgh, PA Pay: $23.00 per hour 26-07977

Job Summary

The Administrative Assistant provides comprehensive administrative, clerical, and operational support to ensure the efficient day-to-day functioning of the office. This role is responsible for data entry, payroll and financial support, work order management, employee onboarding assistance, and general office administration. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities while providing excellent customer service to internal and external stakeholders.

Job Responsibilities
  • Review weekly timesheets to ensure accurate billing against work orders.
  • Enter weekly timesheet data into Kronos.
  • Perform financial data entry and maintain accurate records.
  • Support accounts payable and accounts receivable collections activities.
  • Create and maintain work orders.
  • Assist with new employee orientation, including providing Workday technical support.
  • Answer and direct incoming telephone calls in a professional manner.
  • Manage the employee uniform program.
  • Assign and administer the employee per diem program.
  • Provide administrative support to multiple leaders and departments.
  • Prepare, process, and maintain reports, correspondence, and other business documents.
  • Perform filing, copying, scanning, shipping, and other general office duties.
  • Coordinate travel arrangements as needed.
  • Communicate professionally with executives, vendors, suppliers, employees, and customers.
  • Process payroll-related documentation and assist with administrative reporting.
  • Compile information and prepare reports for internal and external stakeholders.
  • Maintain organized records while ensuring confidentiality of sensitive information.
  • Support additional administrative and operational tasks as assigned.
Job Requirements
  • Previous experience in an administrative, clerical, office support, or coordinator role.
  • Experience with payroll processing, timekeeping systems, or financial data entry preferred.
  • Experience using Kronos, Workday, or similar workforce management and HR systems preferred.
  • Proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Mail Merge.
  • Microsoft Access experience is a plus.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple projects and priorities simultaneously.
  • Strong customer service and interpersonal skills.
  • Self-motivated with the ability to work independently.
  • Knowledge of general office procedures, practices, and office equipment.
