The Senior Sales Operations Coordinator is responsible for driving operational excellence across the sales, bid management, and proposal functions. This role partners closely with the Director of Bid Management to lead proposal execution, CRM governance, analytics, process optimization, automation initiatives, and cross-functional coordination. The position serves as a key business partner to Sales, Engineering, Finance, Operations, and Executive Leadership, ensuring opportunities progress efficiently from qualification through project handoff.
Your role in our team
  • Independently manage complex proposal and bid activities for multiple concurrent opportunities ranging from $100K to $250M+, leading proposal planning, scheduling, stakeholder engagement, and submission execution to ensure high-quality, on-time customer deliverables.
  • Serve as the business owner for CRM data quality, pipeline integrity, opportunity governance, sales reporting, forecasting, executive dashboards, pipeline analytics, win/loss reporting, and proposal performance metrics.
  • Analyze sales and bid data to identify trends, risks, capacity constraints, and improvement opportunities, providing reporting, market intelligence, business analysis, and operational recommendations to support strategic initiatives.
  • Drive continuous improvement across Sales Operations and Bid Management, including implementation of AI-enabled tools, workflow automation, proposal content libraries, and knowledge management solutions.
  • Develop and maintain standard operating procedures, process documentation, templates, governance frameworks, dashboards, and reporting tools to improve operational efficiency and consistency.
  • Coordinate executive approval reviews, pricing reviews, risk assessments, compliance approvals, and submission readiness activities required for customer proposals and bids.
  • Act as the primary liaison between Sales, Engineering, Estimating, Procurement, Legal, Finance, and Operations to resolve issues, ensure proposal readiness, and align cross-functional teams throughout the pursuit process.
  • Monitor proposal workload, resource utilization, bid cycle times, and overall process effectiveness, while leading post-award project handoff activities to ensure a seamless transition from pursuit to execution.

Your profile
  • Strong analytical and business process management skills, with the ability to analyze complex data and translate findings into actionable business recommendations.
  • Advanced proficiency with Salesforce (or similar CRM platforms), Power BI, Excel, and reporting tools, leveraging data to support decision-making and operational excellence.
  • Experience implementing workflow automation, AI-enabled solutions, and process optimization initiatives to improve efficiency, scalability, and business outcomes.
  • Proven project management and cross-functional leadership capabilities, successfully driving initiatives across multiple teams and stakeholders.
  • Excellent executive-level communication and presentation skills, with the ability to clearly convey complex information to diverse audiences.
  • Demonstrated ability to influence stakeholders and build alignment across business functions without direct reporting authority.
  • High level of business acumen, strategic thinking, ownership, and decision-making ability, with a focus on achieving organizational goals.
  • Strong organizational, problem-solving, and prioritization skills, with a proven ability to manage competing priorities and meet deadlines in a fast-paced environment.

Education and Experience Qualifications
  • Bachelor's degree in Business Administration, Marketing, Supply Chain, Communications, Engineering, or related field.
  • 2-5 years of experience in Sales Operations, Business Operations, Bid Management, Proposal Management, Commercial Excellence, Business Analytics, or Project Coordination.
  • Experience supporting complex capital equipment, automation, engineering, manufacturing, or technology sales environments preferred.
  • Experience with CRM systems (Salesforce preferred), reporting tools, and workflow automation platforms.
  • Experience utilizing AI tools and business process automation solutions is highly desirable.
