Job description

Summary of Position:

The DC Project Assistant assists management in handling office procedures by maintaining records, filing, overseeing budgets, and billing for data center projects. This position must communicate regularly with their direct supervisor to ensure that these functions are carried out accurately and timely.

Duties and Responsibilities:
  • Assist Project Manager and supervisors with coordinating project jobs, schedules and work milestones
  • Handle all tracking of work orders from job creation to billing
  • Consolidate redlined maps into billable format
  • Maintain inventory tracking software and manage deliveries
  • Data entry and scheduling
  • Provide excellent customer service both internally as well to customers and vendors
  • Troubleshoot and research discrepancies with work orders and inventory
  • Coordinate travel for jobsite personnel
  • Facilitate relationship and paperwork between internal teams and subcontractors
  • Prepare and submit work change orders
  • Coordinate external and internal correspondence
  • Safety training as required by position
  • Paperwork filing and maintenance as needed
  • Perform other duties as assigned

Essential Education and Qualifications:

  • High School education or GED
  • Proficient with Microsoft Office applications, including high proficiency with Microsoft Excel
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages
  • Must have the ability to work and communicate effectively with employees and customers
  • Possess the ability to multi-task and handle a variety of tasks while maintaining strong attention to detail
  • Must have excellent time management skills and the ability to meet deadlines with accuracy

Preferred Skills:

  • Associate or Bachelor’s Degree
  • Prior Administrative experience
