CTL Engineering is hiring an Accounts Receivable | Billing Assistant!

We provide civil/site design and land surveying, environmental, geotechnical, construction administration & inspection, accident reconstruction, roofing/building envelope, A/V system design, troubleshooting & installation, transportation design (bridge/roadway), and specialized testing services to the construction industry.

We are looking for a skilled Accounts Receivable | Billing Assistant who will play a key role in supporting the billing operations of the accounting department. You’ll leverage your experience in preparing, processing and maintaining billing records, invoices, and other financial documentation.

Highlights:

  • The role will be based out of our new Corporate office location in New Albany.
  • This role has an onsite work schedule – no remote or hybrid work schedule is offered.

Responsibilities:

  • Prepare, process, and maintain billing records, invoices, and other financial documentation.
  • Work closely with the Engineering and Finance teams to ensure accurate and timely billing, as well as providing support in resolving billing discrepancies.
  • Prepare and process invoices for services rendered, ensuring accuracy in billing rates, project details, and client information.
  • Collaborate with project managers and engineers to gather necessary billing information and ensure that all billable work is captured.
  • Enter billing data into the company’s financial systems, ensuring accuracy and compliance with company policies.
  • Respond to client inquiries regarding billing issues, payment discrepancies, and general account questions.
  • Communicate effectively with clients to resolve billing disputes in a timely and professional manner.
  • Maintain accurate and up-to-date billing records, client files, and financial documentation.
  • Assist in the preparation of monthly, quarterly, and annual billing reports.
  • Perform general administrative duties, including filing, scanning, and organizing billing-related documentation.
  • Supports timely processing of timecards or vendor invoices.

Knowledge, Skills and Abilities:

Skills:

  • Strong attention to detail and accuracy.
  • Proficiency in Microsoft Office Suite (Excel, Word) and familiarity with accounting software (e.g., Microsoft Dynamics SL).
  • Excellent organizational and time management skills.
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.

Abilities:

  • Ability to adjust to fast-paced work environment.
  • Ability to effectively communicate, both in writing and verbally, with people of various educational and technical backgrounds, both inside and outside the company.

Minimum Qualifications:

  • Education: Associate Degree in Finance, Accounting, Business or a related field or equivalent education and experience.
  • Experience: Minimum of 2-5 years of experience in billing, accounting, or a related role, preferably within an engineering or technical environment.
