Job description

University Student Union California State University, Northridge Student Assistant Employee Job Description

Under the supervision of the Manager of Administration & Assessment, the Student Administrative Support Assistant II is responsible for handling a variety of routine and complex projects, duties and responsibilities requiring organization, skill, judgment, and decision-making for the Department of Administration at the University Student Union (USU).

Job Duties

โ€ข Monitors and maintains the annual budgets for the Administration department and its corporate office supplies program, including preparing monthly and quarterly reports for review by the Manager of Administration & Assessment

โ€ข Creates, maintains, and monitors two budget trackers

โ€ข Reconciles department and office supplies budget monthly

โ€ข Electronically files and maintains budget documents and receipts

โ€ข Assists the Manager of Administration & Assessment in preparing the annual budget

โ€ข Serves as co-presenter for the Administration department's budget presentation

โ€ข Prepares contracts, purchase orders, budget modifications, makes adjustments to monthly financials (reclassifications), and Work-Study requests

โ€ข Works with vendors to establish contracts and reconcile charge disputes

โ€ข Prepares monthly American Express reports for the Associate Director of Administration & Communications and the USU Executive Director

โ€ข Processes office supply orders for all USU departments and distributes general and specialty supplies from vendors

โ€ข Maintains archive of office supplies ordered, delivered, and distributed; and researches discrepancies

โ€ข Communicates with department managers and student assistants regarding updates on their office supplies orders and office supplies budgets

โ€ข Processes and maintains documents for supply orders, including a web-based request form, a general supplies inventory, and vendor information

โ€ข Assists the Manager of Administration & Assessment in securing conference travel arrangements

โ€ข Prepares travel requests and travel expense reports

โ€ข Completes online trainings for creating accessible documents provided by the CSUN Universal Design Center with a commitment to producing accessible emails and Word, PowerPoint, and Acrobat documents throughout duties

โ€ข Researches and gathers information relative to duties or special projects as assigned

โ€ข Analyzes data, makes budget and efficiency recommendations

โ€ข Prepares and disseminates correspondence for the Manager of Administration & Assessment

โ€ข Assists the Manager of Administration & Assessment, the Associate Director of Administration & Communications, and the USU Executive Director with special projects as assigned

โ€ข Provides on-campus deliveries

โ€ข Performs general office duties, including but not limited to greeting visitors, answering phones, developing and maintaining office systems, tracking information and data, typing correspondence, photocopying, scanning, faxing, filing and other related tasks

โ€ข Performs other related duties as assigned

Qualifications

Education

Must be a currently enrolled CSUN student

Experience

Previous related experience and/or specialized education preferred

Valid Driver's License and auto insurance preferred

Supervision:

General supervision is provided by the Manager of Administration & Assessment

Typical Working Conditions:

Work is primarily performed in a temperature-controlled office environment. Daily contact with members of the campus community, including students, faculty, staff, administrators and guests, is required. The position is expected to handle/lift packages, equipment, and/or office supplies up to 25 pounds. In addition to regularly assigned work schedule Monday-Friday, must possess an ability and willingness to work some academic interim and break periods as needed; must be flexible, adaptable, and readily able to adjust to changes in work environment.
