This role serves as a central point of coordination between cross-functional teams and stakeholders, managing timelines, capacity, dependencies, and shifting priorities while proactively identifying and resolving workflow challenges. The Senior Creative Operations Specialist drives clear communication, strengthens operational processes, and promotes alignment and accountability to support business objectives and successful project delivery.

What You'll Do:

  • Oversees the day-to-day workflow and execution of multiple projects and deliverables, including individual assignments and workstreams within larger initiatives.
  • Manages project intake, prioritization, routing, and scheduling to ensure work is appropriately assigned, resources are effectively utilized, and deadlines are met.
  • Partners with internal stakeholders and cross-functional teams to clarify project scope, requirements, priorities, deliverables, roles, and expectations before work moves through the production process.
  • Develops and maintains project schedules, workback plans, resource assignments, and key milestones while proactively identifying competing priorities, capacity constraints, dependencies, and potential risks.
  • Serves as a central point of coordination between stakeholders and internal teams, facilitating clear communication and ensuring projects progress efficiently from intake through completion.
  • Leads regular status, workflow, and milestone meetings with cross-functional partners to review priorities, address roadblocks, manage changing business needs, and maintain alignment.
  • Monitors project timelines, milestones, deliverables, approvals, and dependencies, proactively resolving workflow issues and escalating risks or delays when appropriate.
  • Balances team capacity and business priorities by coordinating resources, adjusting schedules, and recommending solutions when timelines or workload demands conflict.
  • Maintains accurate project documentation, status information, workflow procedures, and supporting materials, including process and training documentation as needed.
  • Provides clear and timely updates to team members, business partners, and stakeholders regarding project status, priorities, schedule changes, risks, and next steps.
  • Identifies opportunities to streamline workflows, improve operational efficiency, and strengthen traffic and project-management processes; helps establish and implement scalable best practices.
  • Provides guidance on workflow processes and project coordination practices, helping team members and stakeholders navigate established procedures and resolve execution challenges.
  • Supports evolving business priorities and, when necessary, performs responsibilities outside normal business hours to ensure critical deadlines and operational needs are met.

What You'll Bring:

  • BS Degree in a business field or equivalent work experience; PMP certification desirable.
  • 4-6 years of directly related experience, external ad agency or in house creative agency experience preferred.
  • Strong knowledge of project management principles, methodologies, and best practices.
  • Proficiency with project management tools, reporting, and status tracking.
  • Demonstrated ability to plan, coordinate, and manage projects, budgets, and competing priorities.
  • Effective meeting facilitation, presentation, and stakeholder management skills.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills with a proven ability to build relationships and collaborate across teams.
  • Ability to adapt to changing business needs, resolve issues proactively, and balance both strategic initiatives and day-to-day priorities.

Pay Range: $73,900.00 - $98,500.00 AnnuallyThis hiring range is a reasonable estimate of the base pay range for this position at the time of posting.
