Procurement and Inventory Operations Specialist
The Procurement and Inventory Operations Specialist is responsible for ensuring accuracy, efficiency, and continuous improvement across material ordering, inventory management, and estimating support. This role combines tactical execution (processing BOMs, maintaining stock balances, and securing vendor quotes) with strategic problem-solving to optimize procurement practices and drive intelligent decisions. Acting as a Workday super-user, the Specialist will also maintain the integrity of item data, support the estimating team on new parts and pricing, and serve as an escalation point for procurement and inventory issues.
Key Responsibilities
Procurement & Ordering
  • Process bills of materials (BOMs) and coordinate accurate material orders.
  • Obtain vendor quotes and evaluate options to support cost-effective purchasing decisions.
  • Collaborate with Procurement to create and maintain part records in Workday.
  • Support consignment programs and identify creative solutions for procurement challenges.

Inventory & Stock Management
  • Monitor and maintain accurate inventory stock balances, proactively identifying shortages, excesses, or reorder needs.
  • Develop and monitor stock plans (minimums and targets) based on project requirements and ordering trends.
  • Act as a Workday Inventory & Procurement super-user and escalation point for troubleshooting and best practices.

Item Database & Data Integrity
  • Maintain the purchase item database for accuracy in descriptions, pricing, and attributes.
  • Set up and manage substitute items to ensure flexibility in purchasing.
  • Validate and maintain unit of measure (UOM) conversions (e.g., ordering in eaches but receiving/shipping in packs) to support the full purchasing-to-order-to-ship lifecycle.

Estimating & Pricing Support
  • Partner with Estimating to add and price new parts not previously quoted.
  • Provide data and historical insights to help Estimating prepare accurate and competitive bids.

Cross-Functional Collaboration & Improvement
  • Collaborate with Procurement, Estimating, and Project teams to align on material availability, pricing, and sourcing strategies.
  • Serve as an escalation point for procurement and inventory issues affecting operations.
  • Analyze data and trends to recommend smarter purchasing and stocking decisions.
  • Identify opportunities for process improvement and implement creative solutions across procurement, inventory, and estimating functions.

Qualifications
  • 2-4 years of experience in procurement, inventory management, or estimating (Workday experience preferred).
  • Strong analytical and problem-solving skills with the ability to think strategically and creatively.
  • Hands-on experience maintaining item master data, substitutes, and UOM conversions in an ERP.
  • Solid background in BOM processing, inventory planning, and vendor quoting.
  • Proficiency with ERP systems (Workday highly preferred) and advanced Excel/Sheets skills.
  • Excellent attention to detail, organizational skills, and cross-team communication abilities.
