As the Senior Creative Operations Specialist at Brooks, you will support the Creative Content Production team in delivering high-quality work on time and on budget by managing operational tasks, executing and supporting workflows, and providing day-to-day support to producers and cross-functional partners. You will build your knowledge of the production team's systems and operations by working on key tools, workflows, and reporting while providing operational support that enables efficient production execution and broader Creative Operations initiatives. You will help create consistency and visibility across production workstreams by executing defined processes, tracking key information, and identifying routine opportunities for improvement in collaboration with senior operations and production leaders. You will connect day-to-day production needs with long-term process development by supporting process improvements and operational alignment - bringing structure, visibility, and consistency to how projects move from intake to delivery. You will serve as a bridge between the Creative Content Production team and broader Creative Operations.

Your Responsibilities:
  • Establish and implement production workflows, tools, and documentation in partnership with the Senior Manager to support smooth execution across projects.
  • Maintain and update production templates, trackers, timelines, and process documentation to improve team visibility and consistency.
  • Support production reporting rhythms by preparing status updates, tracking risks, and surfacing routine issues to managers or senior partners.
  • Partner with Creative Operations leadership and staff to align production processes and workflows with wider Creative Lab operations; work closely with the Creative Operations Manager.
  • Support Creative Lab process and documentation (i.e., templates, intake, reporting, project management, timelines), bringing a content production perspective.
  • Support production systems and technology (i.e. Workfront, SharePoint, Lucid Link, Workhorse, etc.), providing guidance, troubleshooting, onboarding, and training to producers and crossfunctional partners on team processes, systems, and best practices.
  • Gather feedback from teammates and stakeholders, analyze processes, and share recommendations for incremental workflow improvements.
  • Drive consistent use of Workfront and related project management tools by maintaining accurate project information and helping reinforce consistent usage in collaboration with Creative Operations Manager.
  • Identify routine opportunities to improve efficiency through better coordination, documentation, and emerging tools, including AI-enabled workflows where appropriate.
  • Support team resourcing by tracking forecasted work, monitoring capacity information, and helping align project needs with available team support.
  • Coordinate day-to-day operational tasks across content production workstreams in partnership with producers, managers, and project or account managers.
  • Maintain production tracking and reporting across multiple active projects, ensuring information is accurate, organized, and easy to access.
  • Support operation needs for sample ordering and intake process two seasons a year.
  • Help improve sample workflows to reduce loss, improve handoffs, and increase reliability for production teams.
  • Support broader Creative Operations initiatives and team administration by coordinating processes, maintaining shared resources, and driving consistency across the Creative Lab.
  • Provide project manager support, as needed, for select productions by tracking milestones, dependencies, and deliverables, and escalating risks when needed.
Qualifications:
  • Bachelor's degree in Marketing, or related field; equivalent combination of education and years of experience can be considered in lieu of degree(s)
  • 3+ years of experience in production operations, creative operations, project coordination, or content production support in an in-house brand, agency, or studio environment
  • Familiarity with project management and collaboration tools such as Microsoft Office, Adobe Workfront, Figma, or similar platforms; working knowledge of Microsoft Copilot and other AI project management tools
  • Proven experience resource management/capacity planning for a multi-project team
  • Strong project management skills, including the ability to run timelines, track dependencies, support project execution, and maintain accurate project documentation and reporting across multiple workstreams, while communicating clearly with stakeholders
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities and follow-through on assigned responsibilities
  • Ability to apply judgment to routine issues and escalate risks or questions appropriately
  • Experience supporting cross-functional collaboration with clear, professional communication
  • Strong knowledge of best practices for creative development workflows and marketing campaigns, particularly for photo/video production
  • Experience building, documenting, and improving workflows and operational processes in collaboration with cross-functional partners and senior leaders
