Job description

Position Summary: Medical Records Specialist at Witherite Law Group is responsible for managing and organizing all medical records and related documents for ongoing personal injury cases, particularly those involving motor vehicle accidents. This role involves ordering and following up on medical, billing, and radiology records, verifying subrogation liens, and maintaining accurate records in the case management system (Filevine). The Medical Records Specialist will also handle OCR and redaction of client records, ensuring they are prepared for Case Managers and Paralegals. Additionally, the role requires managing a large caseload, meeting deadlines, and maintaining effective communication with medical providers and clients.
Key Responsibilities:
  • Order medical records, billing records, radiology imaging, etc. with & without affidavit.
  • Follow up on pending records bi-weekly, pay invoices and schedule couriers.
  • Upload/Save all records received to our system (Filevine) as they arrive.
  • OCR and redact clients' records for Case Manager and Paralegals to use.
  • Search for subrogation liens (hospital, Medicaid/care, child support, etc.)
  • Verify balances for all medical providers for demands or mediation.
  • Effectively manage a large case load, e-mails, a checklist and deadlines.
Qualifications:
  • Minimum of 2 years of experience, preferably in a plaintiff's personal injury law firm
  • Exceptional verbal and written communication skills on the phone, in person and email
  • Excellent time management, multi-tasking, and critical thinking abilities
  • Proficient in Microsoft Office Suite and Case Management software (Needles preferred)
  • Proficient in personal injury law involving motor vehicle accidents
  • Excellent organizational skills with outstanding attention to detail
  • Professional appearance and behavior
  • Ability to maintain a high degree of discretion dealing with confidential information
Physical Requirements:
  • Office environment with normal business hours necessary to satisfactorily perform job functions.
  • Stationary Position - Must be able to remain in a stationary position up to 50% of the time.
  • Move or Traverse - This position needs to occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc. May occasionally ascends/descends the stairs to get to other floors, cafeteria and parking area.
  • Dexterity - constantly operates a computer and other office machinery such as a copy machine/printer.
  • Move, Transport, Position, Put, Install, Remove - Occasionally moves supplies weighing up to 10 pounds for various presentation and event needs.
  • Communicate, Detect, Converse with, Discern, Convey, Express oneself, Exchange information - The ability to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
  • Detect, Determine, Perceive, Identify, Recognize, Judge, Observe, Inspect, Estimate, Assess - The ability to observe details at close range (within a few feet of the observer).
