About the Position
WHO WE ARE
The County Executive oversees the enforcement of the laws of Montgomery County and provides Executive direction to all departments and offices of the County government. The County Executive also develops policies; proposes plans, programs, budgets, and legislation to the County Council; adopts Executive Orders and Regulations and appoints residents to boards, committees, and commissions.
WHO WE ARE LOOKING FOR
The Office of the County Executive (CEX) is seeking a Senior Executive Administrative Aide to provide advanced level administrative support to the County Executive. The primary focus of CEX is to provide policy direction, reinforce accountability, and ensure the achievement of results for our residents.
The successful candidate is detail oriented, proactive, has strong interpersonal skills, the ability to multitask and problem-solve. This position also requires strong organizational skills, time management, discretion in handling highly confidential matters, and excellent written and oral communication skills.
What You'll Be Doing
The Senior Executive Administrative Aide's duties include but are not limited to the following:
  • Managing executive level calendars and emails to include scheduling and coordinating high profile meetings, events, and appointments.
  • Acting as a liaison with department and agency directors, senior managers, the County Council and other elected officials, representatives from outside organizations, County employees, and the public.
  • Accompany the County Executive to public functions and provide logistical support to ensure a smooth delivery and transition between events.
  • Drafting, editing, proofreading, formatting, and routing correspondence, reports, and other documents.
  • Tracking and monitoring the status of various issues, documents, projects, activities, and initiatives.
  • Preparing packets, agendas, minutes, and summaries for use during official meetings and public events.
  • Assembling agendas, data, talking points, background documents, and other relevant materials for meetings and events from County Executive's staff, Executive Branch officials, and/or other sources.
  • Assisting with proclamations, certificates, and letters.
  • Providing support to other Senior Executive Administrative staff as needed.

Excellent writing skills are critical to the selected candidate's success in this position.
Minimum Qualifications
Experience: Seven (7) or more years of administrative aide experience.
Education: Graduation from high school or High School Certificate of completion recognized in the State of Maryland.
Equivalency: An equivalent combination of experience and education may be substituted.

  1. Experience using a variety of office automation equipment and computer applications, including Microsoft Office Suite, Outlook, Word, PowerPoint, Excel and Teams, to communicate, maintain calendars, schedule meetings and appointments, track and monitor documents and activities, create spreadsheets, and prepare documents, agenda, minutes, reports, and presentations.
  2. Experience composing, editing, formatting, and proofreading executive correspondence, memoranda, reports, and other written materials. Experience must include creating concise, accurate and well-written messages from verbal instructions.
  3. Experience organizing and prioritizing work to meet deadlines and managing multiple assignments, while being detail oriented and flexible in a fast-paced, high pressure work environment.
  4. Experience researching issues and collecting and organizing information from a variety of sources to present to the manager or to address an issue.
  5. Experience managing and maintaining complicated, confidential files and records.

Montgomery County Ethics Law: Except as provided by law or regulation, the County's "Public Employees" (which does not include employees of the Sheriff's office) are subject to the County's ethics law including the requirements to obtain advanced approval of any outside employment and the prohibitions on certain outside employment. Leave Benefits
Our generous leave package starts with non-MLS permanent and term employees earning 15 days of sick leave and 15 days of annual leave in their first year, as well as up to three additional personal days each calendar year. Positions in MLS earn 35 days of paid time off each year. In addition, we offer all employees 10 paid holidays. Our leave policies adhere to the Family Medical Leave Act of 1993, and we provide six weeks of paid parental leave for new parents.
Retirement Benefits
All permanent and term positions are eligible for robust retirement plans. Public safety positions are eligible for a defined benefit pension plan in which they are vested after only five years. Employees in non-public safety positions can participate in retirement plans that contribute up to 12 percent of their annual salary. All employees can also participate in a supplemental retirement plan, the 457 Deferred Compensation Plan, to contribute even more to their retirement goals.
Tuition Assistance & Student Loan Forgiveness
Montgomery County employees are eligible to participate in the Federal Public Service Loan Forgiveness Program. Participants who meet all requirements may qualify for forgiveness on the remaining balance on their Direct Loans after making 120 qualifying monthly payments under a qualifying repayment plan while working full-time in a qualifying public service position. Free Mass Transit Benefit
County employees are entitled to use the RideOn Bus service for free with a valid County-employee ID. This benefit can be used any time of the day or evening, including weekends. We also offer a pre-tax flexible spending account to reduce the cost of other mass-transit options such as MARC trains and Metro.
