Primary Purpose
Provide high-level clerical, organizational, and logistical support to the Assistant Principal(s) and Counseling Department. Ensure efficient office operations, excellent customer service for students and families, accurate documentation, and timely communication. Assist with maintaining student records, discipline documentation, campus scheduling needs, and overall workflow to support an effective learning environment for the 9th Grade Campus.
Qualifications
Education/Certification
- High School diploma or GED required
- College hours or associate degree preferred
- Texas educational secretary/clerical experience preferred
Special Knowledge/Skills
- Strong organizational, time-management, and multitasking abilities
- Proficient in email, Google Workspace, Frontline, TEAMS, and student data systems
- Ability to handle sensitive/confidential information with discretion
- Excellent written and verbal communication skills
- Customer-service oriented and able to work well with students, parents, and staff
- Ability to remain calm and professional in a fast-paced campus environment
Experience
- Two years of clerical experience in a school setting preferred
- Experience supporting administrators, counselors, or front-office operations beneficial
Major Responsibilities and Duties
Administrative Support
- Provide daily clerical and administrative support to APs and counselors.
- Manage calendars, schedule meetings, parent conferences, and student appointments.
- Prepare and distribute correspondence, memos, letters, and reports.
- Maintain organized electronic and paper filing systems.
- Handle incoming calls and visitors; route inquiries appropriately.
Student Support & Records
- Assist with maintaining and updating student records, discipline documentation, and counselor data.
- Support enrollment, withdrawals, schedule changes, and special program referrals as needed.
- Track and document interventions, behavior logs, and counseling referrals.
- Coordinate with the registrar and attendance office for accurate student data.
Discipline & AP Office Support
- Support the AP(s) with discipline workflow, including entering referrals, scheduling conferences, and preparing paperwork.
- Communicate with teachers, parents, and students regarding discipline items when directed.
- Assist in preparing reports and pulling student information for discipline or attendance audits.
Counseling Department Support
- Assist counselors with student scheduling tasks, credit checks, communication with teachers, and student services.
- Maintain documentation for guidance lessons, SEL resources, and student follow-ups.
- Help prepare materials for parent nights, transition events, testing, and academic planning initiatives.
Campus Operations
- Support testing coordination (STAAR, PSAT, TELPAS, CBA benchmarks) with clerical preparation, labels, rosters, and logistics.
- Help coordinate campus events such as orientation, open house, parent meetings, and student programs.
- Serve as a key point of contact for student and parent questions related to AP/counseling duties.
- Assist in maintaining a smooth and positive office environment at all times.
Other Responsibilities
- Maintain confidentiality in all student and staff matters.
- Follow district and campus procedures, policies, and guidelines.
- Perform other duties as assigned by campus administration.
