About the Role
The Office Manager serves as the first point of contact and creates a positive, professional first impression for consumers, visitors, and staff. This role is responsible for ensuring the office operates efficiently by coordinating communications, scheduling appointments, managing administrative functions, and supporting daily office operations. The Office Manager provides clerical and administrative support to staff while maintaining an organized and welcoming environment.

Responsibilities
Serve as the primary point of contact for visitors, consumers, and incoming communications
Answer and direct phone calls, take messages, and relay information to appropriate staff members
Coordinate office communications and support efficient information flow throughout the agency
Schedule appointments and maintain calendars as needed
Assist staff with clerical duties and administrative support tasks
Maintain office organization, supplies, and general administrative functions
Prepare, organize, and maintain files, records, and office documentation
Support day-to-day office operations to ensure a professional and efficient work environment
Assist with data entry, correspondence, reports, and other administrative projects
Provide excellent customer service to consumers, families, staff, and community partners
Ensure confidentiality and proper handling of sensitive information
Support agency leadership and staff with various office management responsibilities as assigned

Required Qualifications
High School Diploma or GED
Three (3) or more years of administrative, clerical, or office management experience
Proficiency with Microsoft Office Suite including Word, Excel, Outlook, and PowerPoint

Self-motivated with the ability to manage multiple priorities in a professional environment
Ability to maintain confidentiality and professionalism at all times

Preferred Qualifications
Associate's Degree in Business Administration, Office Administration, or related field

Extensive office management experience may be considered in lieu of higher education
